The posting

Vanpac is looking for an experienced and hands-on SeniorInbound Operations Supervisor / Assistant Manager to take ownership of ourinbound international household goods and relocation shipments.

The successful candidate will oversee inbound shipments from pre-arrival through customs clearance, delivery, billing and final closure, ensuring that our overseas agents and relocating clients receive timely, accurate and professional service.

Key Responsibilities

* Oversee and coordinate all inbound international household goods shipments.

* Ensure clients and overseas agents receive proactive ETA and shipment-status updates without having to chase for information.

* Monitor pre-alerts, shipping documents, customs requirements, clearance and delivery arrangements.

* Ensure documentation and import requirements are followed up well in advance of vessel/airfreight arrival.

* Coordinate closely with shipping lines, airlines, forwarders, Customs, operations crews and other service providers.

* Ensure delivery arrangements, building/condominium requirements and special handling requirements are properly planned.

* Review billing to ensure invoices are accurate, complete and issued promptly.

* Follow up outstanding matters and ensure every shipments properly closed.

* Handle service issues and complaints promptly and professionally.

* Supervise and guide the inbound team, establish clear follow-up procedures and maintain a high standard of accountability.

* Maintain strong relationships with Vanpac’s overseas agents and ensure a consistently high level of destination service.

Requirements

* Minimum 5–8 years’ relevant experience in international moving, relocation, freight forwarding or household goods destination services.

* Strong knowledge of inbound shipment coordination, customs documentation and destination operations.

* Previous supervisory or team-lead experience preferred.

* Strong attention to detail, particularly in billing, documentation and follow-up.

* Able to communicate confidently and professionally with overseas agents and international clients.

* Proactive and organised — able to anticipate issues rather than wait for clients or agents to follow up.

* Comfortable taking responsibility for shipments from beginning to completion.
