About the role
The Senior Officer will provide administrative and operational support across Home Nursing, Home Medical and Home Therapy services. Working closely with clinical teams and service partners, the role helps keep day-to-day operations efficient, timely and accurate. The Senior Officer will also compile monthly statistics and prepare operational reports.
Key responsibilities
Client Care Coordination & Service Administration
- Coordinate client appointments, home medical visits and related care arrangements, and keep client records and service information accurate, up to date and shared with the relevant parties.
- Support National Electronic Health Record (NEHR) access administration, including a monthly review of staff access against system-generated reports to confirm that access remains appropriate and up to date.
Statistics and Reporting
- Compile monthly and quarterly operational statistics and reports.
- Collate data from multiple systems and sources to produce accurate performance reports covering service volumes, staff workload and key performance indicators (KPIs).
- Prepare tables, charts and presentation slides for management review, and submit reports to internal and external stakeholders on schedule.
Meetings, Training & Professional Administration
- Organise and support multidisciplinary team meetings, internal operations meetings, and training and professional development activities. Maintain accurate records, minutes and documentation, and track staff professional certification and licensing requirements to ensure timely renewal.
Vendor Payments & Funding Administration
- Support funding applications under the Assistive Technology Fund (ATF) and the Seniors' Mobility and Enabling Fund (SMF) for consumables and equipment, ensuring applications, service records and supporting documents are processed accurately and in line with established procedures.
- Reconcile vendor invoices against orders and deliveries, track payment status, and coordinate the delivery of SMF-funded equipment with vendors, clients and caregivers.
Inventory, Resource & Stakeholder Support
- Coordinate the ordering, tracking and management of medical supplies, equipment and other service resources. Serve as a point of contact for clients, caregivers, healthcare providers, vendors and internal teams to support smooth service delivery.
Other Duties
- Perform other administrative duties as assigned by the Home Health Operations team.
About you
- Diploma in Business Administration, Healthcare Administration or a related field
- Strong administrative, coordination and organisational skills
- Proficiency in Microsoft Office (Excel, PowerPoint, Outlook and Word) and confidence using electronic systems and databases
- Good written and verbal communication skills, with the ability to engage clients, caregivers and stakeholders effectively
- Familiarity with financial schemes, grants and subsidies available to seniors in Singapore
- Excellent communication and interpersonal skills
- Meticulous, with strong attention to detail
- Service-oriented, with a positive and proactive attitude
- Able to work collaboratively with internal teams and external partners
