The posting

1. Application Processing

• Manage the processing of graduate admission applications in an efficient manner within the established timelines.

• Assist in screening applications by reviewing supporting documents for completeness.

• Maintain and update the admissions database with accurate applicant information.

• Draft and send communications to applicants regarding application status, deadlines, and required documentation.

• Respond to email inquiries related to admission processes, providing clear and accurate information to prospective and matriculated students.

• Work closely with other departments to facilitate a smooth admissions process.

• Prepare, review, and verify offer and rejection letters to ensure consistency and accuracy in communications with applicants.

• All documentation related to admissions is properly filed and maintained for audit purposes.

• Identify and coordinate with relevant IT teams to report admissions system usability issues; track issues through to resolution and conduct validation testing to ensure that fixes and enhancements are implemented correctly.

2. Student Records Processing

• Administration of candidature-related student requests such as Leave Applications, Withdrawals, Switch Mode of Study, Switch of Programme, Extension of Candidature, Fee Waivers, and any other related requests pertaining to student life-cycle activities.

• Draft and send communications to students regarding application status, deadlines, and required documentation.

• Respond to email inquiries related to student request processes, providing clear and accurate information to students.

• Work closely with other departments to facilitate the smooth processing of the student requests.

• All documentation related to student records is properly filed and maintained for audit purposes.

3. Data Accuracy Checks

• Prepare as well as conduct thorough accuracy checks on enrolment and intake statistics to ensure data integrity.

• Perform accuracy checks on data migrated to the new Admissions and Student Records Systems, ensuring that all information has been accurately transferred and is up to date.

• Validate matriculation records migrated to the new systems, confirming that all records are accurate and complete.

• Ensure the accuracy of applicants and student records migrated to the new systems, identifying and resolving any discrepancies.

4. Change Management for new system

• Support the creation of training materials (screen-captures, video walkthroughs, infographics or step-by-step user guides).

• Assist in organizing road shows and briefing sessions.

• Establish a feedback channel to log user pain points and relay technical bugs or proposed enhancements to the project team members.

5. Additional Duties

• Assist with any other duties assigned by management to support the overall functioning of the Office of Academic Administration and Services.
