About the Role:
We are hiring on behalf of our client for a Shipment Coordinator to support shipping and logistics operations. In this role, you will be responsible for coordinating shipment activities, ensuring compliance with trade and customs regulations, managing shipping documentation, supporting freight and billing processes, and liaising with internal stakeholders, vendors, customs authorities, freight forwarders, and trade partners to ensure smooth, timely, and cost-effective delivery of goods.
The ideal candidate will have strong organizational and communication skills, a good understanding of logistics and shipping procedures, and the ability to manage multiple priorities in a fast-paced environment while maintaining accuracy and regulatory compliance.
Key Responsibilities:
- Liaise with Customs/Excise officers, governmentagencies, shipping vendors, and other third-party service providers.
- Verify shipping and trade documents for customs endorsement and regulatory compliance.
- Prepare cover letters and distribute endorsed shipping documents to affiliates and trading partners.
- Actualize voyages and initiate freight payments and billing activities through internal systems.
- Review and verify vendor invoices, reconcile discrepancies, and follow up on credit/debit adjustments.
- Troubleshoot operational and system-related issues to ensure seamless day-to-day shipment execution.
- Analyze transportation spend and identify opportunities for logistics optimization and cost savings.
- Support inventory management initiatives, including handling slow-moving, excess, or dead stock redeployment plans.
- Ensure timely and accurate transaction processing for invoicing, payments, and operational reporting.
- Monitor vessel movements and utilize analytical tools to provide logistics and market insights.
- Coordinate supply and logistics activities across marine, pipeline, rail, and truck transportation modes.
- Maintain compliance with transportation policies, credit guidelines, regulatory requirements, and quality standards.
- Participate in process improvement initiatives, system enhancements, automation, and digitalization projects.
- Support supply response activities during unplanned supply disruptions and product quality incidents.
- Provide guidance and training to junior Logistics Coordinators when required.
Requirements:
- Experience in shipment coordination, logistics, supply chain, shipping operations, or related fields.
- Knowledge of shipping documentation, trade regulations, and customs processes.
- Strong attention to detail and organizational skills.
- Excellent problem-solving and analytical capabilities.
- Strong communication and stakeholder management skills, including interactions with government authorities.
- Proficiency in computer systems and logistics-related applications.
- Ability to work independently with minimal supervision.
- Experience in freight billing, invoice reconciliation, and transportation coordination will be advantageous.
