Job Summary

Support the Operations and Maintenance of a large-scale digital platform by managing vendor coordination, asset and account management, and project administration to ensure smooth daily operations and compliance.

Responsibilities

Vendor Management

  • Manage and coordinate vendor clearance processes to ensure timely compliance.
  • Coordinate annual signing and renewal of vendor agreements and declarations to maintain contractual validity.
  • Oversee vendor onboarding and offboarding/exit clearance to align with project requirements.
  • Collaborate with vendors and stakeholders to ensure adherence to project and operational standards.

Asset & Account Management

  • Manage issuance, tracking, and collection of project laptops and IT assets to maintain accurate asset control.
  • Coordinate with third-party vendors to resolve laptop and hardware issues promptly.
  • Maintain and update accurate records of project assets and inventories.
  • Manage provisioning and deprovisioning of user accounts to ensure appropriate access and security compliance.

Project & Operations Support

  • Provide administrative and operational support to facilitate project activities and milestones.
  • Prepare meeting minutes and track action items to ensure follow-up and accountability.
  • Monitor routine Operations & Maintenance activities and timelines to support project continuity.
  • Assist in tracking project deliverables and schedules to meet deadlines.
  • Prepare reports, data summaries, and management updates as required for informed decision-making.
  • Coordinate with internal teams, vendors, and external stakeholders to support seamless daily operations.

Preferred competencies and qualifications

  • Degree in Information Technology, Computer Science, Information Systems, Engineering, or related discipline.
  • Proficient in Microsoft Office applications, especially Word, Excel, and PowerPoint.
  • Skilled in working with spreadsheets and performing basic reporting and data analysis.
  • Strong organizational and coordination skills to manage multiple tasks and timelines effectively.
  • Effective communication and interpersonal skills to collaborate with teams, vendors, and stakeholders.
  • Ability to work independently and collaboratively within a project team.
  • Proactive and detail-oriented approach to handling operational and administrative responsibilities.
  • Prior experience in IT operations, systems support, vendor management, asset management, or project coordination is advantageous.

Other Information

  • Work Week: Monday to Friday (8:30 AM – 6:00 PM)
  • Work Arrangement: Full Onsite - West Central Region
  • Salary: S$4,500 (with variable bonuses)
