The posting

Job Purpose

The Temporary Operations Executive will provide operational and administrative support to the Retail Operations team and retail outlets. The role focuses on order processing, data entry, coordination and daily operational support, ensuring that tasks are completed accurately and on time.

The individual will work closely with retail outlets and internal departments to follow up on operational matters and support smooth day-to-day operations.

Key Roles & Responsibilities

1. Order Processing & Administration

Process and coordinate retail outlet orders accurately and within required timelines.

Perform order entry, amendments and other operational transactions in relevant systems.

Verify order details, quantities, pricing and supporting information before submission.

Follow up on outstanding, delayed or incomplete orders.

Maintain proper documentation and records for operational transactions.

2. Data Entry & Data Management

Perform accurate and timely data entry into Excel, SAP or other company systems.

Maintain and update operational trackers, product information, pricing, order records and outlet-related data.

Check information for accuracy and identify missing or incorrect data.

Ensure operational records and files are properly organized and maintained.

Assist with updating master data and other administrative records where required.

3. Retail Outlet Support

Provide day-to-day operational support to retail outlets.

Coordinate and follow up on outlet requests relating to orders, stock, pricing, promotions and other operational matters.

Assist outlets in resolving operational issues by coordinating with the relevant internal teams.

Track outstanding outlet requests and ensure timely follow-up and closure.

Escalate urgent or unresolved issues to the relevant manager.

4. Coordination & Follow-Up

Coordinate with Retail Operations, Supply Chain, Warehouse, Procurement, Finance, IT, Marketing and other departments where required.

Follow up on action items to ensure agreed timelines are met.

Support communication between the head office and retail outlets.

Assist in coordinating promotional activities, product launches, stock movements and other retail initiatives.

Ensure information and instructions are communicated clearly to relevant stakeholders.

5. General Operations Support

Assist the Retail Operations team with administrative and operational tasks.

Maintain operational trackers and follow up on outstanding action items.

Support preparation and consolidation of operational reports and documents.

Assist with filing, documentation and record keeping.

Support projects and retail initiatives where required.

Perform other ad-hoc duties and assignments as required by the Retail Operations team.

Requirements

  • Diploma or equivalent qualification in Business Administration, Operations, Retail Management or a related discipline.
  • Previous experience in operations, administration, retail support, order processing or data entry is preferred.
  • Proficient in Microsoft Excel, Word and PowerPoint.
  • Experience with SAP or ERP systems will be an advantage.
  • Strong attention to detail and accuracy.
  • Good organizational and time-management skills.
  • Able to manage multiple tasks and follow up independently.
  • Good communication and coordination skills.
  • Responsible, proactive and able to work in a fast-paced retail environment.
  • Able to commit to the full 3-month contract period.
