About the Role

We are seeking a proactive and customer-focused Workspace Services Coordinator to support the day-to-day operations of our client's workplace environment. In this role, you will help deliver an exceptional employee and visitor experience by ensuring smooth facilities operations, maintaining workplace standards, and providing first-class hospitality services.

Acting as the key point of contact for workplace-related matters, you will work closely with the Workspace Services team to create a safe, welcoming, and productive office environment while supporting operational activities across the APAC region.

Key Responsibilities

Workplace & Reception Services

  • Deliver a professional and welcoming reception experience for employees, visitors, contractors, and guests.
  • Ensure a seamless and personalized visitor journey from arrival to departure.
  • Foster a positive workplace culture and community experience within the office.
  • Maintain a clean, organized, and professional reception area at all times.

Visitor Management & Access Control

  • Manage visitor registration and check-in processes using relevant visitor management systems.
  • Verify visitor identities and direct guests, vendors, and contractors appropriately.
  • Notify employees upon their guests' arrival.
  • Issue, monitor, maintain, and retrieve visitor access badges.
  • Keep access control records updated and ensure workplace security procedures are followed.
  • Escalate any unexpected visitor requests to the Workspace Services team for guidance.

Hospitality & Employee Experience

  • Provide hospitality support for visitors and guests, including refreshments where applicable.
  • Assist with meeting room preparations and workplace events.
  • Coordinate lunch, catering, and hospitality requirements as needed.
  • Arrange taxi bookings and support ad hoc workplace service requests.

Mailroom & Logistics Operations

  • Receive, sign for, and distribute incoming mail and deliveries.
  • Coordinate courier shipments and prepare shipping documentation.
  • Support the collection and delivery of physical mail, parcels, and packages.
  • Ensure mailroom and storage areas remain organized and efficient.

Facilities & Workplace Operations

  • Conduct regular office floor walks to maintain workplace cleanliness and presentation standards.
  • Monitor office supplies, pantry inventory, and consumables, coordinating replenishment as required.
  • Report and follow up on workplace faults, repairs, and maintenance issues.
  • Support operational activities across both soft and hard facilities management services.

Health, Safety & Compliance

  • Maintain awareness of emergency procedures, evacuation routes, and assembly points.
  • Support emergency evacuation processes when required.
  • Promote a safe and secure working environment for all occupants.

Administrative & Team Support

  • Partner closely with the Workspace Services team to ensure effective communication and service delivery.
  • Provide administrative and operational support for workplace initiatives and projects.
  • Support APAC Workspace Services teams with ad hoc assignments and regional activities as required.

About You:

  • Prior experience in reception, hospitality, workplace services, facilities management, office administration, or customer service environments.
  • Excellent communication and interpersonal skills.
  • Strong customer service mindset with a passion for creating exceptional workplace experiences.
  • Highly organized with the ability to manage multiple tasks and priorities.
  • Proficient in Microsoft Office applications.
  • A proactive, team-oriented attitude with strong attention to detail.
  • Ability to work independently while collaborating effectively with stakeholders across different levels.
