About the Role We are seeking a highly organized, proactive, and tech-savvy Executive Coordinator to serve as a trusted partner to the Chief People Officer (CPO). In this role, you will help maximize the CPO’s effectiveness by managing priorities, anticipating needs, enabling informed decision-making, and ensuring focus remains on the work that matters most. This position goes beyond traditional administrative support. The ideal candidate brings exceptional judgment, strong communication skills, attention to detail, proactivity, and the ability to thrive in a fast-paced environment. You'll leverage modern productivity tools, including AI, to streamline workflows, improve efficiency, and deliver high-quality work. Key Responsibilities Manage complex calendars, priorities, travel, and executive commitments. Prepare agendas, pre-reads, briefing materials, and follow-up communications to ensure meeting readiness. Draft, edit, and proofread executive communications, presentations, and other business materials. Leverage AI and productivity tools to organize information, summarize content, track actions, and improve workflow efficiency. Manage information flow, prioritize requests, and ensure timely responses and decision-making. Coordinate leadership meetings, offsites, and events, including logistics and stakeholder communications. Build strong relationships across executives, teams, and external partners. Anticipate potential issues and proactively resolve challenges before they impact the business. Handle sensitive and confidential information with discretion and professionalism. Qualifications Significant experience supporting senior executives or leadership teams. Exceptional organizational, communication, and relationship-management skills. Strong writing, editing, and proofreading capabilities. Experience coordinating executive meetings, offsite meetings, travel, and complex schedules. Proficiency with Microsoft 365 (Outlook, Teams, PowerPoint, Word, and Excel). Comfort using AI-enabled productivity tools and applying sound judgment to ensure accuracy and confidentiality. Ability to manage multiple priorities with professionalism, adaptability, and attention to detail. What Success Looks Like The executive is consistently prepared, informed, and focused on strategic priorities. Meetings are well-organized, productive, and followed by clear action plans. Communications are polished, accurate, and audience-appropriate. Stakeholders view the executive office as responsive, organized, collaborative, and trusted. Processes and technology are leveraged to improve efficiency, quality, and business impact. The base pay range for this role is $71,000 - $121,000. In addition to base salary, Nasdaq provides a generous annual bonus/commission (short-term incentive), and equity (long-term incentive), comprehensive benefits, and opportunity for growth. Exact compensation may vary based on several job-related factors that are unique to each candidate, including but not limited to: skill set, experience, education/training, business needs and market demands.
