The posting

About this role:

Help bring ambitious live entertainment experiences to life. As a Production Coordinator, Live Events, you’ll keep the details, people and information connected as shows move from development through testing, rehearsals, opening and handover to touring.

Working closely with the Production Project Manager and Producer, you’ll coordinate schedules, maintain production documents, support logistics and keep agreed actions moving. This is an opportunity for someone who enjoys working with creative and technical teams, takes pride in getting the details right and wants to build their experience across the full lifecycle of a live show.

As a Production Coordinator, you’ll be responsible for:

  • Keep the show moving: Maintain production calendars, schedules and shared trackers, keeping teams connected to priorities, milestones and upcoming deadlines.
  • Turn conversations into action: Coordinate production meetings, capture decisions and next steps, and follow up with action owners to keep progress on track.
  • Keep teams working from the same page: Organize production documents and shared folders so everyone has the latest briefs, schedules, drawings and approved materials.
  • Support the creative process: Track submissions, partner feedback and approvals, helping prepare review materials and keeping feedback organized and accessible.
  • Connect the operational details: Work with Finance, Contracts and internal teams to support vendor and crew onboarding, purchase requests, invoice tracking and expense reconciliation.
  • Bring people and plans together: Coordinate travel, accommodation, transport and attendance details through established company processes and approved budgets.
  • Help bring shows to life on site: Prepare call sheets, itineraries and practical information for testing, showcases and rehearsals, providing coordination and administrative support on the ground.
  • Support a smooth handover: Track outstanding deliveries, organize handover records and flag missing information, delays or logistical challenges to the relevant Experiences lead or Producer.

You’ll need to have:

  • 1–3 years of relevant experience supporting live entertainment, theatre, events or touring productions, including experience in coordination, production assistant or similar support roles.
  • Strong organizational skills, attention to detail and dependable follow-through across multiple tasks and deadlines.
  • Confidence using spreadsheets, shared document systems, calendars and collaboration tools to maintain accurate trackers and records.
  • Clear written and verbal communication skills, with the ability to work effectively with creative teams, vendors, crew and internal departments.
  • Basic understanding of production workflows and financial administration, sound judgment with confidential information, and the ability to recognize when an issue needs escalation.
  • Availability to travel and support on-site testing, rehearsals and openings, including variable hours during production periods.

It’s a plus if you have:

  • Experience supporting a production through rehearsals, opening or handover to touring.
  • Familiarity with vendor onboarding, purchase orders, invoice tracking or crew travel coordination.
  • A proactive, practical approach to solving problems and a willingness to ask questions.
  • Curiosity about how creative, technical and operational teams collaborate to deliver live experiences.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
