Overview: To ensure all paperwork and projects are processed and completed in a timely manner in the order of established priorities.
Essential Job Functions:
Follow office workflow procedures to ensure maximum efficiency. Maintain files and records with effective filing systems. Support other departments with various administrative tasks (redirecting calls, disseminating correspondence, scheduling meetings etc.). Greet and assist visitors when they arrive at the office. Monitor office expenditures and handle all office contracts (service etc.). Perform basic bookkeeping activities and update accounting system. Assist in settling customer complaints or issues. Monitor office supplies and inventory, and place orders. Assist in vendor relationship management.
Qualifications:
Prior experience as office coordinator or in a similar role is required. Experience in customer service is preferred. Knowledge of basic bookkeeping principles and office management systems and procedures. Outstanding knowledge of Microsoft Office and/or other office software. Working knowledge of office equipment. Excellent communication and interpersonal skills. Organized with the ability to prioritize and multi-task. Reliable with patience and professionalism.
Physical Requirements:
Move, bend, lift, carry, push, pull, and place objects of moderate to heavy weight without assistance. Stand or walk for an extended period or for an entire work shift. Responds quickly to sounds. Moves safely over uneven terrain. Identify and respond to dangerous situations. Safely climb ladders while carrying moderate to heavy weight. Wear personal protective equipment when required.
Working Environment:
Indoor Engineering office. Occasional outdoor tasks with travel around property when needed.
