Office Manager

Preston Auto Group is looking for an experienced, detail-oriented Office Manager to join our team at the all-new Toyota of Altoona, Volkswagen of Altoona, and Audi Altoona dealerships!

We are seeking a motivated individual with strong automotive accounting experience who can oversee the daily accounting operations of all three dealerships, ensure accurate financial reporting, and help maintain an efficient and organized accounting office.

Key Responsibilities

  • Prepare, review, and finalize monthly dealership financial statements for Toyota, Volkswagen, and Audi.
  • Accurately post vehicle sales deals, including new, used, retail, lease, and wholesale transactions.
  • Post vehicle funding transactions and reconcile contracts in transit to ensure timely funding.
  • Process trade-in payoffs and ensure all liens are satisfied promptly.
  • Oversee accounts payable, including vendor invoices, payments, and statement reconciliations.
  • Manage accounts receivable, including customer balances, manufacturer receivables, and outstanding payments.
  • Reconcile bank accounts, general ledger accounts, schedules, and other accounting records.
  • Monitor and clean up accounting schedules, including aged receivables, contracts in transit, and vehicle inventory.
  • Ensure accurate vehicle inventory accounting, including purchases, trades, dealer trades, and wholesale transactions.
  • Oversee daily cash deposits, cash controls, and bank reconciliations.
  • Review and reconcile manufacturer incentives, rebates, warranty receivables, and other factory payments.
  • Assist with payroll processing and maintain accurate employee-related accounting records.
  • Supervise and support accounting office personnel, ensuring responsibilities are completed accurately and on time.
  • Coordinate with dealership management and Preston Auto Group's corporate accounting team.
  • Maintain compliance with dealership accounting procedures, internal controls, and manufacturer requirements.
  • Assist with year-end accounting, audits, and other financial reporting needs.

Qualifications

  • Previous automotive dealership accounting experience required.
  • Prior Office Manager, Controller, or Assistant Controller experience preferred.
  • Experience preparing dealership financial statements strongly preferred.
  • Proficiency with dealership management systems; CDK experience preferred.
  • Strong understanding of automotive accounting, general ledger reconciliations, and dealership financial operations.
  • Excellent organizational skills, attention to detail, and ability to meet deadlines.
  • Strong leadership, communication, and problem-solving skills.
  • Ability to manage multiple priorities across three dealership franchises.
  • High level of professionalism, integrity, and confidentiality.
