The posting

Position Overview:

The Senior Document Controller is responsible for managing and maintaining all project documentation in line with EPCM standards and client requirements. This includes engineering drawings, technical documents, fabrication records, quality control reports, correspondence, and contractual files. The position ensures document accuracy, version control, and timely distribution to relevant departments, vendors, and clients.

Key Responsibilities:

  • Establish and maintain an efficient document control system for all project phases: engineering, procurement, fabrication, and construction.
  • Manage document flow using EDMS (Electronic Document Management Systems) or internal control systems.
  • Ensure proper version control and timely updates of drawings, specifications, datasheets, MTOs, QC reports, and manuals.
  • Prepare and maintain Document Transmittals (DTs) and ensure all submissions comply with client formats and numbering systems.
  • Control internal and external correspondences (letters, MOMs, RFIs, submittals, etc.) between company, clients, and subcontractors.
  • Coordinate with project managers, engineers, and QA/QC departments to ensure document traceability and integrity.
  • Support project audits and client inspections by maintaining organized and retrievable documentation.
  • Maintain Master Document Register (MDR) and ensure consistent updates throughout the project lifecycle.
  • Archive and back up all documentation as per the Company EPCM Quality Management System (QMS).
  • Train and guide junior document controllers and administrative staff on document control procedures.

Qualifications & Experience:

  • Diploma or Bachelor's Degree in Engineering, Business Administration, or related field.
  • 5-10 years of experience as a Document Controller in EPCM or EPC projects.
  • Strong knowledge of engineering and fabrication documentation systems.
  • Familiar with ISO 9001, SNI, and international document management standards.
  • Proficient in MS Office, Adobe Acrobat, and document control software (e.g., Aconex, SharePoint, or equivalent).
  • Excellent organizational and time management skills with high attention to detail.
  • Ability to handle confidential and sensitive information professionally.
  • Strong communication skills in English and Bahasa Indonesia.
