Job Title: Personal Assistant

Location: San Francisco, CA 94123

Employment Type: Full-Time, 40 hours a week

Schedule: Monday-Friday 10am - 4pm. Flexibility for evening and weekend work required depending on event schedule

Compensation: $120k-$130k salary based on experience

About Our Household

This is a dynamic, professionally active household based in San Francisco, run by a single principal with a full life and a full social calendar to match. A trusted team of service providers supports the household, and now needs a dedicated lead to coordinate day-to-day operations on the principal’s behalf—someone who can bring everything together and keep it running smoothly.

While the principal is focused on his career day-to-day, they love to work hard and play hard, hosting weekly dinner series and gatherings for 20–30 guests. Spending quality time outdoors and traveling is also a favorite way to recharge and unwind. The home is a place of energy and connection, and the person in this role will play a central part in making that happen seamlessly.

This is a dynamic role that is part House Manager, Personal Assistant, and Event Planner. Given the nature of this position, a reliable, proactive individual who can handle consistent event coordination and highly detailed logistics with charm, warmth, judgment, and taste will be essential. The ideal candidate must be able to execute tasks independently, maintain the household, and stay on top of ongoing requests, handling everything with meticulous care and enthusiasm.

With a background in personal assistance, household management, luxury event planning, private tour planning, and/or concierge services, you know how to create seamless experiences, build strong relationships, and bring structure and ease to a fast-moving personal environment.

Highly adaptable and an excellent multitasker, you naturally take ownership of the details that keep a household running smoothly. You read between the lines and deliver what’s needed with speed, precision, and care — whether coordinating vendors, preparing for guests, managing logistics, or handling unexpected changes. You’re calm under pressure, discreet, and skilled at navigating sensitive dynamics while maintaining strong relationships with guests, vendors, and partners. You communicate proactively, follow through consistently, and stay one step ahead.

Above all, you thrive in high-trust environments where discretion, thoughtfulness, and strong judgment are essential. You enjoy being the person who brings everything together — creating a well-run home, memorable guest experiences, and a seamless day-to-day life for the principal.

Qualities We’re Looking For:

  • Hospitality & Service Mindset: You naturally make people feel welcomed, cared for, and at ease, bringing warmth, positive energy, and emotional intelligence into every interaction. You are highly observant, proactive, and take pride in anticipating needs while representing the household with discretion, professionalism, and good judgment.
  • Event Planning Experience: You have experience in luxury event planning, private tour planning, concierge services, or similar high-touch environments. You can create seamless guest experiences and coordinate complex events with confidence and ease, including highly personalized weekly gatherings of 20–30+ guests
  • Poise and Strong Communication Skills: You have polished written and verbal communication skills, handling tasks with grace and efficiency. You can handle last-minute changes, flexible schedules, and sensitive dynamics with tact, poise, and steady professionalism.
  • Ability to Work Independently & Proactive Mindset: You are a self-starter who takes initiative, manages tasks with minimal direction, and maintains a fast-paced, consistent flow of communication with the principal. Practical, resourceful, and discerning are qualities people use in describing you.
  • Exceptional Follow-Through: You don’t just make calls or send emails—you ensure projects reach completion, track details across many moving pieces, and follow up until things are fully resolved.
  • Excellent Prioritization Skills: You quickly distinguish urgent vs. important, stay responsive via text, and communicate timelines and updates clearly.
  • Tech-Savvy: You’re highly proficient with Google Workspace, calendar and ordering tools, and you’re comfortable using AI research tools and learning new software to improve efficiency.

Key Responsibilities

Administrative & Personal Assistant Support

  • Manage the principal's personal calendar in coordination with a separate professional EA
  • Schedule events and appointments (work meetings, appointments, events, doctors’ visits, etc.)
  • Plan and coordinate personal travel, including group logistics and guest travel arrangements
  • Track receipts and manage budget for household and personal purchases
  • Serve as the main point of contact for the primary residence and personal representative for neighbor inquiries and select personal appointments

Event Planning

  • Coordinate and facilitate weekly dinner series and gatherings of 20–30 guests
  • Hire and manage event staff (bartenders, chefs, servers, and entertainment)
  • Manage guest lists, check-in logistics, event setup, and staff
  • Order and place florals, place settings, and table decor
  • Design and order custom menus, placecards, and other paper goods
  • Order and oversee delivery and setup/breakdown of rentals

Household Organization & Maintenance

  • Maintain household organization systems (closets, storage, pantry)
  • Coordinate with weekly cleaning service to prepare for in-home events, holidays, and guest stays
  • Conduct seasonal swaps (clothing, décor, bedding, etc.)
  • Prepare and coordinate returns/donation drop-offs and pick-ups
  • Arrange for dry cleaning and special care as needed

Inventory & Errands

  • Maintain and execute running household supply list
  • Track and restock pantry, fridge, toiletries, and household supplies
  • Manage digital orders and subscriptions (Amazon, Costco, Target, Rinse, etc.)
  • Run in-person errands: grocery shopping, returns, dry cleaning, gift shopping
  • Handle package pickup, mail sorting, and deliveries

Vendor & Property Oversight

  • Supervise and coordinate with service providers/vendors (e.g., chef, on-call maintenance team, cleaners, laundry service, landscapers, recology)
  • Research, gather quotes, schedule, and oversee repairs and property maintenance
