Job Description Summary

The Financial Services Representative performs moderately complex accounting and clerical work in the preparation, processing, and calculating of student enrollment payments and registration fees. This position is responsible for monitoring student financial obligations owed to the college and the general reconciliation of a number of accounts. This position works closely with other members of the Student Financial Services team, Financial Aid, and other college departments to ensure accurate student financial accounting.

Job Description

Responsibilities and Duties Include:

  • Performs all fiscal functions related to student accounts, including but not limited to, student and third-party payments, adjustments, and refunds, to ensure charges are properly billed and payments are appropriately applied to student accounts.
  • Assists students and parents at the cashier’s window, on the phone, and via email concerning all student financial matters, including fee refunds, fee waivers, IRS form 1098-T, tuition collection, and other fees.
  • Assists students with outside entities for the student disbursement, third party scholarship, tuition payment plan, and external collection agencies to ensure proper recording of transactions.
  • Sets up student accounts receivable including invoicing, payment processing, and account reconciliation.
  • Processes holds to student accounts, student scholarships awarded through outside sources, financial aid warrants, adjustments and/or refunds to student financial accounts as needed.
  • Maintains complete, accurate and up-to-date records within internal and external platforms for loan payments, scholarship awards, tuition payment plans, tuition verification sheets, and collections based on the rules and policies of the college.
  • May operate a cash drawer when needed.
  • Monitors tuition payment plans and makes adjustments as needed.
  • Prepares tuition verification sheets and Excel spreadsheets as needed.
  • Assists the Bursar, Financial Services staff, and other departments within the Office for Finance with administrative functions as needed.
  • Assists students with refunds and financial aid disbursement.
  • Keeps a record of operating procedures and may share position specific knowledge, including use of collegewide ERP and related system processes, by providing guidance on standard operations and established departmental procedures as needed.
  • Provides service to the college through participation in events, committees, and other college activities.
  • Complies with all published College Rules, procedures, guidelines, and laws/regulations governing public employees, including but not limited to those related to document retention and destruction, FERPA, and confidentiality.
  • Strictly honors the privacy, security, and confidentiality of records and other sensitive information according to appropriate state, federal, and college regulations, policies, and procedures.
  • Provides service excellence through courteous, informed, accessible, and professional engagement.
  • Performs other duties as assigned.

QUALIFICATIONS

Required: An associate’s degree with two (2) years of related work experience or a combination of completed education and/or related work experience equal to four (4) years. Additional Requirements: A criminal background check will be conducted. Preferred: An associate’s degree in areas of business or related fields with prior experience working in financial aid or a higher education institution.

  • Relationship Management – able to personally provide high level of interactive service to others, building relationships and addressing identified needs.
  • Systems & Software - proficient level of knowledge of Microsoft Office and/or relevant position software programs.
  • Detail Oriented - Proven accuracy and attention to detail.
  • Multi-task - Ability to expeditiously organize, coordinate, manage, prioritize, and perform multiple tasks simultaneously to swiftly assess a situation, determine a logical course of action, and apply the appropriate response.
