What you'll be doing

As our Executive Assistant, you'll act as the primary facilitator for the executive daily operations. This is a high-visibility role requiring a gatekeeper mentality balanced with problem-solver execution. You will be responsible for the seamless coordination of the executive's professional life.

Here's what that looks like in practice:

- Executive Calendar Management & Time Optimization – Proactively govern the complex calendars of multiple C-level executives, prioritizing high-impact engagements and safeguarding protected time for strategic focus and deep work.

- Meeting Governance & Executive Briefing – Deliver daily briefing packs, attend key meetings to document minutes, and ensure all action items are tracked and closed out across the executive leadership team.

- Global Travel & Logistics Coordination – Own end-to-end planning and execution of international travel and logistics, including conferences, roadshows, and external stakeholder engagements.

- Corporate Operations & Culture Enablement – Serve as Program Manager to drive alignment on company-wide milestones and deadlines, while orchestrating All-Hands meetings, team ceremonies, and recognition events that reinforce company culture.

- Executive Content & Materials Readiness – Partner with executives to ensure decks, data reports, and presentation materials are finalized and available at least 24 hours ahead of scheduled use.

- Administrative & Operational Excellence – Manage expense reporting, procurement requests, document management, and related operational processes to ensure efficient and compliant day-to-day business operations.

Who we're looking for

This role needs a problem-solver who loves teamwork and gets things done. If you're curious and ready for real ownership, you'll fit in! Does this sound like you?

- Proven Executive Support Experience – You have 3-5 years in a high-pressure support or operations role, ideally within scale-up tech, finance, or consultancy environments.

- Anticipation & Strategic Thinking – You have the ability to "see around corners"—solving conflicts or logistical issues before the executive even knows they exist.

- Tools & AI Proficiency – You have a mastery of Google Suite, Slack, and Notion, and you are proficient in using AI to optimize workflows.

- Strong Communication & Discretion – You are fluent in Italian and English and can maintain absolute confidentiality regarding sensitive financial or board-level data.

- Flexibility & Ownership – You have a "full flexible" approach, a willingness to go the extra mile, and are ready to be on-site as required to support the team. For this role, on-site presence in the office is required up to 5 days a week.

Salary: €40,000 - €52,000 gross per annum

This range is set using objective, gender-neutral criteria for the role's core requirements. However, we do not believe in putting a ceiling on talent. The final compensation package is tailored according to your unique experience and expertise.
