The position reports to the assigned line manager, with reports and escalations communicated through the established reporting line.

Operational Responsibilities:

  • Maintain the reporting calendar, communicate departmental input requirements and submission deadlines, and follow up on submissions using approved templates.
  • Collect updates on operational activities, initiatives, and assigned actions. Check submissions for completeness and consistency with previous updates and resolve gaps or discrepancies with the responsible department.
  • Prepare weekly reports and executive briefings covering key developments, completed activities, upcoming deadlines, reasons for delays, and decisions required.
  • Prepare and update action trackers and meeting presentations using approved information, clearly identifying data sources and the date of the latest update.
  • Maintain a consolidated register of decisions and directives, recording the responsible owner, target completion date, and status. Confirm closure with the responsible department and retain supporting documentation.
  • Follow up with departments on commitments and deadlines and escalate delays or delivery issues to the Chief Operating Officer, including the responsible department’s explanation and the action required.
  • Coordinate agendas for progress review meetings, compile supporting materials, prepare meeting minutes, and circulate approved records to the relevant participants.
  • Maintain organized records of reports, minutes, and follow-up correspondence, applying version control and approved access permissions to support retrieval and traceability.

Authority and Accountability:

  • Request information, updates, and supporting documents relating to approved reports and assigned actions.
  • Return incomplete or inconsistent submissions to the responsible department for clarification or correction.
  • Flag overdue actions and unverified information and escalate them through the approved reporting channels.
  • Prepare draft reports, minutes, and follow-up correspondence for review and approval before formal circulation.
  • Each department remains accountable for the accuracy of its information, the interpretation of its results, and the delivery of its assigned actions.
  • The Reporting Coordinator checks, consolidates, presents, and tracks this information.
  • The Performance and Transformation function remains responsible for defining performance indicators, establishing measurement methodologies, and conducting specialist performance analysis.

Key Performance Indicators:

  • Reporting Timeliness: Submit 100% of scheduled reports within agreed deadlines.
  • Reporting Accuracy: Maintain at least 95% accuracy and completeness of submitted reports.
  • Action Tracker Updates: Update 100% of action trackers within the agreed reporting cycle and follow up on outstanding actions.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
