Role Description

Core Responsibilities

  • Process and manage invoice approvals, ensuring accuracy and timely routing for payment through the appropriate accounting channels.
  • Coordinate documentation, communication, and contract administration with vendor managers for site-specific services.
  • Maintain and update digital records to track new site activations and critical operational milestones.
  • Support sales and operations teams with data hygiene, workflow improvements, and custom report generation.
  • Track inventory, create and manage purchase orders from initiation through receipt and reconciliation, coordinating between site operations and accounting.
  • Administer Return Merchandise Authorization (RMA) processes, including all necessary documentation and vendor coordination for faulty equipment.
  • Assist with onboarding new customers.
  • Document onboarding procedures to ensure a consistent and scalable customer experience.

Minimum Qualifications

  • 2-4 years of experience in an operations, administrative, or back-office support role, preferably within clean energy, facilities management, or logistics.
  • Strong organizational skills with a high attention to detail and a commitment to data accuracy.
  • High proficiency with Google Workspace (Docs, Sheets, Drive, Gmail, Calendar).
  • High attention to detail with the ability to manage records, maintain data hygiene, and run basic reports.
  • Familiarity with purchase order workflows, inventory management systems, or procurement processes.
  • Clear and professional communicator who can work cross-functionally with Finance, Sales, and Field Operations teams.

Preferred Qualifications

  • Entrepreneurial mindset; comfortable in fast-moving ambiguous environments
  • Familiarity with Salesforce or similar CRM platforms

Compensation for this role is determined by several factors, including the cost of labor in specific geographic markets, and these ranges are intended to provide a helpful reference. The actual compensation offer will be based on the candidate’s location, skills, level of expertise and experience, and internal equity considerations. In addition to base salary, we offer a comprehensive benefits package and, where applicable, performance-based incentives.
