What we want
The Program Coordinator, Rural Medicine Outreach supports the day-to-day administrative and operational functions of the Texas A&M University Naresh K. Vashisht College of Medicine Rural Medicine Outreach Team. Working under the direction of the Director of Rural Medicine Outreach, this position coordinates program operations, student clinical rotation logistics, administrative processes, scheduling, communications, records, and special projects that support the Rural Medicine Program. The position serves as a primary administrative resource for students, faculty, staff, healthcare partners, and community stakeholders, helping ensure timely communication, accurate program records, effective coordination, and consistent follow-through across Rural Medicine activities. Some statewide travel may be required.

Salary: Compensation will be commensurate to the selected hire’s experience.
Schedule: Occasional evening and weekend work may be required to support student clinical rotations, outreach events, health fairs, educational programs, conferences, and community engagement activities.
Travel: Persons in this position should have the ability to travel independently throughout Texas, including frequent overnight travel, by driving and/or flying to support student clinical rotations, partner visits, meetings, conferences, and outreach activities.

Qualifications
Required Education and Experience:
- Bachelor's degree in an applicable field or an equivalent combination of education and experience
- Two (2) years of related experience in program coordination, higher education, healthcare, administrative support, event coordination, customer service, student services, or a related field
Preferred Qualifications:
- Master's degree or Master of Public Health (MPH) from an accredited college or university
- Experience working in a healthcare setting, higher education, hospitals, nonprofit organizations, or community-based programs
- Experience coordinating student programs, outreach initiatives, events, or special projects
- Valid Texas Class "C" Driver's License or the ability to obtain one within 30 days of employment
Knowledge, Skills, and Abilities:
- Excellent verbal, written, interpersonal, and customer service skills
- Ability to communicate effectively and professionally with students, faculty, physicians, healthcare professionals, community leaders, and external partners
- Strong organizational and project coordination skills with the ability to manage multiple priorities, meet deadlines, and adapt to changing needs
- Ability to establish and maintain effective working relationships with colleagues, students, faculty, healthcare professionals, community partners, and external organizations
- Knowledge of program coordination, event planning, administrative processes, and records management
- Ability to analyze information, solve problems, and exercise sound judgment in a fast-paced environment
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, and Teams) and the ability to learn new software applications
- Ability to prepare reports, presentations, correspondence, and other professional business documents
- Ability to work independently and collaboratively as part of a team
- Ability to maintain confidentiality and handle sensitive information with professionalism and discretion
- Ability to travel throughout Texas and represent the Rural Medicine Program and the Naresh K. Vashisht College of Medicine in a professional manner

Responsibilities
Program Planning, Student Rotation Operations & Implementation:
- Coordinate the daily operations of rural student rotations and outreach initiatives within the Rural Medicine Program
- Coordinate student clinical rotations throughout Texas by arranging schedules, travel, housing, onboarding requirements, documentation, and other program logistics
- Serve as the primary point of contact for students before, during, and after rural clinical rotations
- Facilitate communication among students, faculty, physicians, hospitals, clinics, and community partners to support successful clinical rotations and program activities
- Monitor student placements, maintain rotation schedules, and ensure program requirements and deadlines are completed in a timely manner
- Conduct statewide travel as required
- Meet with physicians, hospital and clinic leadership, school district representatives, and community stakeholders
- Support partnership development and community engagement efforts
- Plan, implement, and assist in evaluating initiatives that support the goals and objectives of the Rural Medicine Program
Program Administration, Records Management & Reporting:
- Administer daily operational functions that support rural medicine outreach and student clinical rotations
- Maintain program records, databases, affiliation agreements, calendars, compliance documentation, travel records, housing information, and other program files to support efficient program operations
- Coordinate travel arrangements and make travel reservations for students and staff, including lodging, transportation, airfare, rental vehicles, and other travel-related logistics
- Process payments, travel reimbursements, student and staff reimbursements, purchasing requests, invoices, and other administrative and financial transactions in accordance with university procedures
- Coordinate meetings, workshops, conferences, outreach events, and special projects by scheduling activities, arranging logistics, preparing materials, and facilitating follow-up communications
- Prepare reports, presentations, correspondence, meeting materials, and other program documentation
- Compile program statistics, participation data, and outcome measures to support reporting, grant activities, program evaluation, and continuous improvement
- Track program activities, deadlines, expenses, and administrative processes while maintaining systems that improve operational efficiency, organization, and reporting accuracy
Partnership Development & Community Engagement:
- Develop and maintain collaborative relationships with hospitals, clinics, physicians, school districts, community organizations, local governments, and other stakeholders to strengthen rural medical education and healthcare workforce development across Texas
- Coordinate partner visits, stakeholder meetings, community engagement activities, and educational outreach initiatives that support student clinical rotations and promote healthcare careers in rural and underserved communities
- Plan, coordinate, and support school visits, presentations, career exploration events, workshops, summer camps, and other educational outreach programs in collaboration with school districts, university departments, healthcare organizations, and community partners
- Represent the Rural Medicine Program and the Naresh K. Vashisht College of Medicine at meetings, conferences, recruitment events, health fairs, partner visits, and community outreach activities throughout Texas
- Coordinate community immersion experiences that connect medical students with local healthcare professionals, educators, community leaders, and community organizations while enhancing students' understanding of rural healthcare
- Execute special projects that advance the goals and strategic initiatives of the Rural Medicine Program
- Collaborate with Business Affairs, Student Affairs, Marketing and Communications, faculty, and other university departments to support program initiatives and achieve departmental objectives
