About the Role

MOD42 is seeking a highly organized Project Coordinator to support leaders across Preconstruction and Commercial Operations. This hands-on position combines vendor and procurement tracking, project documentation, commercial agreement coordination, CRM maintenance, and substantial day-to-day administrative support.

You will maintain logs, collect outstanding documents, coordinate reviews, and follow up with vendors and internal teams. From tracking procurement information and certificates of insurance to routing mutual nondisclosure agreements for signature, you will help ensure that details are accurate, records are accessible, and next steps are completed.

No two days are the same. You will balance competing requests, respond to shifting priorities, and move quickly while maintaining impeccable attention to detail. We're looking for someone who enjoys bringing order to a busy environment, asks thoughtful questions, and follows through without repeated reminders.

Qualifications

  • Experience as a project coordinator, procurement coordinator, contracts coordinator, or in a comparable support role within construction or manufacturing.
  • Hands-on experience tracking vendors, procurement information, and project documentation.
  • Familiarity with COIs, purchase orders, change orders, and related administrative workflows.
  • Experience using Procore to maintain project records and documentation.
  • Strong Excel or Google Sheets skills and comfort learning new systems.
  • CRM experience, particularly HubSpot, is helpful.
  • Impeccable attention to detail and consistent documentation habits.
  • Ability to manage multiple priorities, adapt to changing needs, and remain responsive during business hours.
  • Clear, professional communication with vendors, legal counsel, leadership, and internal teams.
  • Curiosity and confidence to ask questions, verify information, and flag concerns.
  • Comfort owning detailed administrative work and following tasks through to completion.

Experience with a general contractor, specialty subcontractor, modular builder, or manufacturer is especially relevant.

Key Responsibilities

Preconstruction, Vendor, and Procurement Support

  • Maintain vendor records, procurement logs, project trackers, and outstanding action lists.
  • Request, collect, and track vendor documentation, including certificates of insurance (COIs).
  • Support purchase order tracking and maintain related records as directed.
  • Maintain change order logs and coordinate supporting documentation and review steps.
  • Organize and update project information in Procore and designated company systems.
  • Follow up with vendors and internal stakeholders on missing information, outstanding documents, and approaching deadlines.
  • Identify discrepancies or incomplete records and raise questions promptly.

Commercial Agreement Coordination

  • Coordinate mutual nondisclosure agreements (MNDAs) and other standard commercial agreements from initial request through review, signature, and filing.
  • Verify company names, signer details, and other required information before routing documents.
  • Send approved templates through the designated e-signature platform.
  • Route all proposed legal changes and third-party agreement forms to outside counsel.
  • Track redlines, document versions, review status, signatures, and outstanding actions.
  • Maintain visibility into who owns each next step and follow up to prevent delays.
  • File executed agreements and update the related CRM and document records.

This position coordinates the agreement process. Drafting, interpreting, and negotiating legal terms remain with outside counsel and authorized leadership.

CRM, Documentation, and Administrative Support

  • Maintain accurate contact, company, and opportunity records in HubSpot.
  • Keep shared files organized using consistent naming conventions and version control.
  • Reconcile information across trackers, the CRM, and shared document systems.
  • Prepare status updates and organize information for leadership review.
  • Schedule meetings, maintain action lists, and track follow-ups through completion.
  • Provide substantial administrative support to both Preconstruction and Commercial Operations leaders.
  • Communicate competing deadlines and confirm priorities when requests overlap.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
