Tribalco is seeking a Project Assistant to work with our project management team to support on-going project execution. This is an entry-level position that requires a self-starter who is highly motivated, exceptionally organized, and able to work independently while communicating confidently and professionally by phone and email with customers, vendors, service providers, and internal teams. An ideal candidate will be able to comfortably manage administrative processes of multiple open projects in various stages of the project life cycle. The Project Assistant will be required to successfully prioritize and arrange tasks; pivot between tasks without losing focus; proactively communicate and follow up with multiple parties; make phone calls to customers and vendors to obtain status, resolve issues, and confirm next steps; continuously document project status; learn and adhere to established processes; anticipate and address issues in a timely manner; and maintain productive working relationships with colleagues, customers, and vendors. Responsibilities
- Reliably follow established internal procedures and consistently adhere to project documentation requirements
- Assist in coordinating the full life cycle of multiple projects with various government entities, internal support teams, vendors, service providers, and customers
- Willingness to take initiative and to make full use of established company resources
- Willingness to gain a solid understanding of the program so a proactive approach to risk management can be reliably executed
- Willingness to acquire a high-level understanding of public-safety vehicle upfitting equipment and services, including mobile radio equipment, emergency-lighting packages, and vehicle transportation logistics.
- Adherence to program expectations for clear, reliable, and detailed communication
- Proactively communicate with internal and external project stakeholders by phone, email, and virtual meetings; consistently follow up to obtain information, confirm commitments, and drive open actions to completion.
- Develop and maintain good relationships with our internal teams, customers, equipment vendors, and service providers
- Proactively recognize and address potential issues, including delayed responses, outstanding vendor actions, scheduling conflicts, and incomplete project information; escalate issues and ask for help as needed.
- Maintain a flexible attitude when challenges arise and develop a comfort level in reaching out to our known resources for assistance with problem solving
- Assist in ensuring that project scopes are completed within budget and on time
- Assist in managing and tracking all tasks associated with open projects
- Ensure that all project tracking activities utilize our Help Desk and SharePoint tools to ensure compliance with corporate management methodologies
- Represent Tribalco by assisting in ensuring that projects are managed and completed in an efficient and professional manner
- Present themselves to the customer in a professional manner
Required Skills

- Strong verbal communication skills and comfort making professional phone calls to customers, vendors, transportation providers, and internal stakeholders.

Education and Certifications
- Four (4) Year degree preferred. Will consider relative experience in lieu of degree.

Compensation
- Salary Range: $50,000-$60,000
- The above salary range is a guideline; however, compensation is determined by a number of factors, including the scope of the position and the candidate's experience, education, certifications, training, skills, and market factors.
