Job Description

The Senior Practice Manager provides hands-on operational leadership and strategic oversight across outpatient clinical practices. This role requires a seasoned healthcare operations leader with strong, progressive experience managing complex ambulatory clinic operations, supporting physicians and clinic staff, while maintaining consistent operational performance across multiple locations. The position serves as an interim and cross-functional operational leader during leadership transitions, staffing gaps, and periods of increased operational need. A high level of proficiency with the Epic electronic medical record (EMR) system is essential to support workflow optimization, scheduling, patient access, operational reporting, and adoption of standardized clinical processes. The Senior Practice Manager also oversees the centralized float pool, volunteers, and clinical transport staff, with responsibility for ensuring float pool resources can be deployed effectively to clinics experiencing staffing shortages.

Responsibilities

• Provide operational leadership for assigned outpatient clinics and departments, including coverage across multiple locations as business and staffing needs require.

• Maintain strong day-to-day oversight of ambulatory operations, including patient access, scheduling, registration, patient throughput, provider templates, clinical workflows, staffing, and service delivery.

• Serve as a trusted operational partner to physicians, clinical leaders, practice supervisors, front-office teams, and clinical support staff.

• Provide interim leadership and operational stabilization during leadership vacancies, transitions, clinic expansions, staffing shortages, or other periods of increased operational need.

• Manage the centralized float pool and coordinate deployment of float staff to multiple clinic locations based on staffing shortages, patient volumes, skill requirements, and operational priorities. Ensure team members are prepared and able to travel between clinic locations as assigned.

• Lead, mentor, and support practice supervisors, front-office staff, clinical support teams, float pool staff, volunteers, clinical transport staff, and others as assigned.

• Use Epic extensively to evaluate and improve outpatient workflows, scheduling and template utilization, patient access, work queues, operational reporting, and other clinic processes.

• Develop, implement, and standardize operational policies, procedures, and best practices across clinic locations to improve consistency, efficiency, quality, and the patient experience.

• Monitor clinic performance indicators, including access, wait times, throughput, provider productivity, staffing utilization, patient satisfaction, and other operational metrics; use data to identify trends and implement corrective actions.

• Support staffing plans, recruitment, onboarding, training, cross-training, performance management, and workforce deployment to maintain appropriate coverage and operational continuity.

• Partner with providers and clinic teams to optimize schedules, resource allocation, care-team workflows, and patient access while balancing operational and clinical priorities.

• Manage practice budgets, financial performance, and revenue cycle activities, including oversight of charge capture, collections, expenses, denials, and provider productivity.

• Address escalated patient concerns and collaborate with clinical leaders to resolve operational or service issues.

• Support quality improvement, regulatory compliance, accreditation readiness, patient safety, and service excellence initiatives.

• Facilitate effective communication across providers, staff, clinic leadership, and administrative departments, particularly when coordinating operational changes across multiple sites.

• Lead or support initiatives involving clinic expansion, technology implementation, facility changes, process redesign, and other operational improvements.

Qualifications

Education: Bachelor's degree in healthcare administration, business, or a related field is required.

Experience: Significant progressive leadership experience in outpatient/ambulatory clinical operations is strongly preferred. The ideal candidate will have demonstrated responsibility for the day-to-day operations of busy medical practices and experience supporting providers and staff across multiple clinic locations.

Travel: Yes, travel between clinics on an as needed basis.

Strongly Preferred Knowledge, Skills, and Abilities

• Seasoned operational experience in outpatient or ambulatory clinical practice environments, with a strong understanding of patient flow, scheduling, access, staffing, provider templates, and clinic workflows.

• Advanced working knowledge of Epic EMR in an outpatient setting, with demonstrated ability to use the system to support operational workflows, scheduling, reporting, work queues, and process improvement.

• Demonstrated success partnering directly with physicians, advanced practice providers, nursing/clinical teams, and administrative staff to resolve operational challenges and improve clinic performance.

• Ability and willingness to work across and travel between clinic locations as operational needs require.

• Strong leadership, coaching, team-building, conflict resolution, communication, and organizational skills.

• Ability to respond quickly to staffing shortages and changing clinic needs while maintaining patient care operations and service standards.

• Strong financial and analytical acumen, including experience with budgets, productivity measures, performance metrics, and revenue cycle processes.

• Demonstrated ability to standardize processes, manage change, and lead continuous improvement in a fast-paced, evolving healthcare environment.
