About the Role

We are looking for an experienced and result-oriented Purchase Lead with 10–12 years of experience in procurement, strategic sourcing, supplier management, and supply chain operations, preferably within electronics manufacturing, automotive electronics, or the EV industry.

The ideal candidate should have strong expertise in procuring electronic components, PCBAs, mechanical components, and other production materials. The role involves managing end-to-end purchasing operations, negotiating commercial terms, optimizing procurement costs, ensuring material availability, and developing reliable supplier partnerships.

The candidate will work closely with the Engineering, R&D, NPI, Production, Quality, Finance, and Supply Chain teams to ensure uninterrupted manufacturing operations and successful new product introductions.

Key Responsibilities1. Purchase Planning & Execution

  • Take ownership of purchasing execution from receipt of approved purchase requisitions and material requirements through PO placement, delivery tracking, receipt coordination, and order closure.
  • Convert approved purchase requisitions, MRP outputs, production plans, forecasts, and project requirements into actionable purchase schedules.
  • Prepare and release purchase orders to approved suppliers using authorized rates, payment terms, delivery terms, and other approved commercial conditions.
  • Ensure PO accuracy, including internal item code, MPN, description, specification, quantity, approved make, price, taxes, delivery schedule, payment terms, and ship-to details.
  • Plan and track order quantities and delivery schedules considering demand, lead times, MOQ, inventory levels, and production priorities.
  • Monitor open purchase orders, pending supplier acknowledgements, overdue supplies, rescheduled deliveries, and critical shortages; take timely action.
  • Ensure purchase orders are placed within agreed timelines and in line with approved budgets, policies, and authorization limits.

2. Purchase Order & Supplier Order Management

  • Process purchase orders strictly as per approved supplier selection, approved rates, and authorized commercial terms.
  • Obtain supplier acknowledgement against every PO and verify acceptance of quantity, price, delivery date, and other PO conditions.
  • Coordinate with suppliers for order status, production progress, dispatch schedules, shipment details, and delivery commitments.
  • Track supplier commitments against required-by dates and maintain an updated open-PO and delivery tracker.
  • Coordinate PO amendments, quantity changes, schedule revisions, cancellations, and rescheduling after obtaining required internal approvals.
  • Maintain regular communication with suppliers to ensure timely execution of confirmed orders.
  • Escalate deviations in quoted or confirmed prices, payment terms, delivery terms, or other commercial conditions for review and approval before proceeding.

3. Material Procurement & BOM Compliance

  • Execute procurement of active and passive electronic components, including ICs, microcontrollers, MOSFETs, resistors, capacitors, connectors, sensors, relays, and semiconductor devices.
  • Execute procurement of PCBs, PCBAs, wiring harnesses, cables, enclosures, sheet-metal parts, plastic components, and other manufacturing materials.
  • Use approved BOMs, item masters, MPNs, specifications, approved makes, and approved alternates while processing purchase requirements and POs.
  • Verify that the requested item code, manufacturer part number, make, specification, and approved alternate details are correctly reflected in the PO.
  • Coordinate with Engineering/R&D for technical clarifications and documented approval wherever a proposed component change, alternate, or BOM revision requires technical validation.
  • Ensure traceability, authenticity, certifications, and compliance documents are obtained wherever required.
  • Monitor obsolete, constrained, allocation-controlled, and long-lead-time items and promptly highlight supply risks to relevant stakeholders.

4. Material Availability & Shortage Management

  • Coordinate with Planning, Production, Stores, and project teams to ensure material availability against production plans and customer commitments.
  • Review material shortages, critical components, long-lead-time items, imported materials, allocation risks, and supplier capacity constraints regularly.
  • Prepare and circulate shortage reports, open-PO reports, overdue-order reports, and material readiness updates.
  • Follow up proactively with suppliers for pull-ins, partial deliveries, split shipments, and revised dispatch plans wherever required.
  • Coordinate urgent purchase requirements and prioritize orders based on production criticality and approved business priorities.
  • Monitor excess and obsolete inventory exposure by validating requirements and existing stock/open orders before placing additional orders.
  • Highlight risks to production continuity and escalate unresolved material shortages with clear recovery plans.

5. Supplier Coordination & Delivery Performance

  • Maintain effective working relationships with approved suppliers to ensure timely order execution and reliable delivery performance.
  • Follow up with suppliers on PO acknowledgement, order progress, dispatch readiness, delivery schedules, and pending supplies.
  • Track supplier on-time delivery, responsiveness, commitment adherence, and order-related service performance.
  • Coordinate with Quality and Stores for rejected, blocked, damaged, short, or non-conforming materials and follow up for replacement, repair, return, or credit note closure as applicable.
  • Ensure supplier delivery issues and pending actions are documented, escalated, and closed within agreed timelines.
  • Maintain supplier communication records and delivery performance data for periodic review.

6. Purchase Price & Commercial Compliance

  • Ensure purchase orders are created using the latest approved supplier rates and authorized commercial terms.
  • Check PO prices and conditions against approved rate records, quotations, rate contracts, or other authorized commercial references.
  • Flag any mismatch, expired rate, unexpected price change, additional charge, or deviation in payment or delivery terms before PO release.
  • Do not independently establish supplier rates, conduct market benchmarking, or revise negotiated commercial terms; refer such matters to the designated commercial authority for decision and approval.
  • Maintain accurate records of approved rates, rate validity, quotations, purchase orders, and relevant commercial approvals for audit and traceability.
  • Coordinate with Finance for supplier advances, credit limits, payment status, invoice discrepancies, debit/credit notes, and payment-related closure.

7. NPI, Prototype & Project Procurement Support

  • Execute purchasing requirements for prototype, development, validation, pilot-production, and mass-production projects.
  • Coordinate with R&D, NPI, Planning, and project teams to understand approved material requirements, sample quantities, project priorities, and required-by dates.
  • Process approved sample and development purchase requirements and track supplier commitments against project milestones.
  • Ensure timely PO placement and delivery follow-up for new product launches and production ramp-ups.
  • Track BOM and engineering revisions and ensure that purchase orders reflect the latest approved item codes, specifications, and material revisions.

8. ERP, Documentation & MIS

  • Ensure disciplined use of ERP/MRP for purchase requisitions, purchase orders, PO amendments, supplier acknowledgements, delivery schedules, and purchase closures.
  • Maintain accurate purchasing data, including supplier details, item codes, MPNs, approved rates, MOQ, lead times, delivery commitments, and payment terms.
  • Prepare regular MIS covering open POs, overdue orders, shortages, material readiness, pending supplier confirmations, and order closure status.
  • Coordinate with Stores and Finance to resolve pending GRNs, invoice mismatches, debit/credit notes, and purchase documentation.
  • Maintain organized records of requisitions, approved commercial references, POs, supplier confirmations, dispatch documents, and correspondence.
  • Develop and improve purchasing SOPs, checklists, workflows, trackers, and escalation mechanisms.
  • Ensure compliance with company procurement policies, approval processes, audit requirements, and ethical purchasing practices.

9. Team Leadership & Cross-Functional Coordination

  • Lead, guide, allocate, and review the work of the purchasing team to ensure clear ownership of suppliers, purchase categories, and deliverables.
  • Set priorities and performance expectations for buyers and monitor execution through regular reviews and dashboards.
  • Coach team members on purchase requisition processing, PO accuracy, ERP discipline, supplier follow-up, delivery tracking, and issue resolution.
  • Coordinate with Planning, Production, Engineering/R&D, NPI, Quality, Stores, Finance, and other relevant teams to ensure smooth purchasing operations.
  • Escalate critical supply risks, price or term deviations, delayed deliveries, and unresolved material issues to the appropriate authority in a timely manner.

4. Required Qualifications & Experience

  • Bachelor's degree in Electrical Engineering, Electronics Engineering, Mechanical Engineering, Supply Chain Management, or a related field.
  • MBA/PGDM in Supply Chain Management, Operations, or Materials Management will be an added advantage.
