The posting

Our organization is a rapidly scaling, mission-driven interventional mental health platform dedicated to transforming outpatient psychiatric care. We provide cutting-edge, evidence-based treatments—including Spravato® (esketamine), Transcranial Magnetic Stimulation (TMS), and medically supervised IV Ketamine Therapy—for individuals battling treatment-resistant depression, severe anxiety, PTSD, OCD, and complex mood disorders.

Backed by clinical rigor, specialized psychiatric protocols, and a patient-first ethos, we bridge the gap between advanced interventional neurotherapeutics and accessible, compassionate outpatient care. We deliver tangible clinical breakthroughs for patients who have exhausted conventional pharmacotherapy and traditional talk therapy.

Currently operating regional centers of excellence across New York, New Jersey, and Florida, the organization is executing an immediate multi-state expansion from 3 operating clinics to 8 locations, establishing the operational infrastructure for an ongoing national roadmap targeted at 25–30+ sites.

We are seeking an entrepreneurial, operationally rigorous Vice President of Operations / Head of Operations to lead our mental health platform through an inflection point of rapid multi-site scale. Reporting directly to the Co-Founders/Co-CEOs, this executive will direct day-to-day clinical and administrative operations while spearheading our immediate expansion to 8 locations.

The primary mandate is to ensure our clinics deliver exceptional clinical outcomes and empathetic patient care through an accountable, standardized, and scalable operating structure. This role requires an executive who thrives at the intersection of strategic growth and hands-on execution—someone who can command clinic unit economics, institute repeatable de novo opening playbooks, partner closely with psychiatric clinical leadership, and build leadership depth across every department.

Core Responsibilities

  • Enterprise Mental Health Operations & Leadership: Direct day-to-day operations across all outpatient clinics and centralized corporate support functions. Establish organizational structure, standard operating procedures (SOPs), KPI operating cadences, and accountability frameworks to translate executive vision into operational execution.
  • Patient Journey & Mental Health Intake Funnel: Oversee the end-to-end patient experience from initial inquiry through psychiatric evaluation and treatment course completion. Drive compassionate intake conversion, reduce patient drop-off, optimize speed-to-care for vulnerable populations, and coordinate handoffs between centralized intake and local clinic care teams.
  • Prior Authorization & Mental Health Coverage (Dotted Line): Guide centralized authorization workflows for specialized psychiatric modalities (including Spravato and TMS). Accelerate benefit verifications, resolve behavioral health commercial/Medicare approval bottlenecks, manage appeals/renewals, and collaborate with RCM to safeguard continuous patient treatment courses.
  • Clinic Operations & Psychiatric Alignment: Partner closely with the Medical Director and psychiatric providers to uphold consistent clinical quality across Spravato, TMS, and IV Ketamine programs. Manage regional and clinic managers to optimize treatment chair/suite utilization, reinforce patient appointment adherence and retention, minimize late cancellations, and deliver a supportive patient experience.
  • Financial Discipline & Performance Management: Partner with the CFO to manage clinic-level P&Ls, operating budgets, provider and clinical technician productivity, and labor efficiency. Identify and resolve operational sources of revenue leakage while executing actionable performance plans where needed.
  • De Novo Clinic Expansion (3 to 8 Sites & Beyond): Collaborate with the Director of Expansion to execute our multi-state rollout. Deploy repeatable clinic-opening playbooks covering clinical staffing (nurses, psychiatric technicians, site managers), specialized licensing, local DEA registrations, IT infrastructure, and ramp-up targets to achieve on-time, budget-conscious clinic launches.
  • Technology, Systems & Data Analytics: Drive organization-wide adoption of core platforms (Salesforce CRM, AdvancedMD EHR/PM). Develop executive dashboards to track vital behavioral health operational metrics, treatment cycle completions, and capacity utilization, implementing automations that eliminate administrative burden.
  • People, Compliance & Psychiatric Risk Management: Partner with HR to recruit, onboard, and retain high-performing clinical and administrative teams in competitive behavioral health markets. Collaborate with compliance and legal to maintain rigorous adherence to healthcare mandates, including DEA controlled-substance handling, FDA REMS requirements for Spravato, patient privacy (HIPAA), and clinical safety protocols for psychiatric emergencies.

Candidate Qualifications

  • Executive Healthcare Leadership: 10+ years of progressive operational leadership experience within outpatient healthcare, with at least 4–5 years in an executive capacity (VP of Operations, Head of Operations, or COO).
  • Multi-Site Outpatient Scale: Proven track record scaling multi-site outpatient clinical networks through rapid growth inflection points (e.g., scaling an organization from single-digit sites to 10–30+ locations). Prior experience in interventional psychiatry, behavioral health, or specialized multi-site outpatient clinics is highly preferred.
  • Operational Toolkit: Deep expertise in centralized patient access/intake navigation, commercial and government behavioral health insurance verification, prior authorization processes for specialized therapies, clinical staffing models, and patient retention workflows.
  • De Novo Execution: Direct experience authoring scalable operational playbooks, launching de novo clinical sites on schedule, and establishing regional management tiers.
  • Technology Proficiency: Hands-on experience implementing, optimizing, and driving adoption of enterprise healthcare platforms, specifically Salesforce (or comparable CRM systems) and AdvancedMD (or comparable EHR/PM platforms).
  • Financial Acumen: Strong background in clinic-level P&L management, multi-site budgeting, clinical unit economics, and operational KPI modeling.
  • Education: Bachelor’s degree in Healthcare Administration, Business Administration, Operations Management, or a related discipline required; MHA or MBA strongly preferred.
  • Travel: Ability and willingness to travel across clinical sites in New York, New Jersey, Florida, and target expansion states as needed (typically 25–40%).

Core Competencies & Leadership Attributes

  • Strategic & Hands-On: Capable of designing multi-year platform operational strategies while rolling up sleeves to resolve local clinic workflow hurdles during de novo ramp-ups.
  • Systems Architect: Instinctively builds standardized systems, documented workflows, and operational consistency rather than relying on ad-hoc workarounds.
  • Data-Driven & Clinically Empathetic: Anchors operational and resource decisions in data while maintaining high clinical empathy and an understanding of patient vulnerability in mental healthcare.
  • People Developer: Fosters autonomy, builds accountability, and mentors clinic and regional managers to operate effectively without executive micro-management.
  • Radical Candor: Communicates transparently with executive peers and founders, surfacing operational risks early and resolving root issues directly.

Compensation & Executive Package

  • Base Salary: $250,000 base salary.
  • Incentive Compensation: Substantial annual performance-based bonus tied to operational milestones, multi-clinic launch execution, and EBITDA/margin targets.
  • Executive Benefits: Comprehensive health, dental, and vision insurance; retirement savings plan (401k); generous paid time off (PTO); executive travel reimbursement and technology stipend.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
