Enable effective executive operations through trusted governance, stakeholder coordination and project support.

The Opportunity

We are seeking an experienced Executive Portfolio Officer to join the Office of General Counsel and provide high-level support to the General Counsel and University Secretary.

This is a varied and influential role for someone who enjoys working at the centre of a complex organisation, balancing executive priorities, governance responsibilities and strategic projects. You will manage and coordinate executive workflows, diaries, travel, correspondence, reporting and communications, while acting as a trusted point of connection between the Office of General Counsel and stakeholders across and beyond the University.

Working closely with senior leaders, professional and academic staff, government agencies and external legal providers, you will help ensure important matters are progressed efficiently, professionally and with appropriate discretion.

Beyond traditional executive support, you will contribute to strategic and operational projects, undertake governance research and support the implementation of new legislation, codes and University requirements. You will also coordinate committee activities, prepare high-quality executive and committee papers, monitor actions and support the management of statutory notices and information requests.

This is an opportunity to bring together your executive support, project coordination and stakeholder management skills in a role where sound judgement, organisation and attention to detail make a genuine difference to the effective operation of the University.

What Success Looks Like:

Success in this role means creating order in a busy and complex environment, anticipating priorities and ensuring executive and governance activities are delivered to a consistently high standard. You will:

  • Provide responsive and professional coordination of executive diaries, correspondence, travel and workflows.
  • Prepare clear, accurate and high-quality executive, Board and committee papers, reports and communications.
  • Coordinate strategic and operational projects, keeping priorities, actions and deliverables on track.
  • Build trusted relationships with senior leaders and a diverse range of internal and external stakeholders.
  • Apply sound judgement and discretion when managing confidential information, governance matters and statutory requests.

Please refer to the Position Description for full details.

About You

You will be an organised, adaptable and highly professional individual who is comfortable working with senior stakeholders and managing sensitive matters in a fast-paced environment. You will bring:

  • Relevant tertiary qualifications and/or equivalent experience in executive support, governance or project coordination.
  • Demonstrated ability to manage competing priorities, anticipate requirements and deliver high-quality outcomes within a complex environment.
  • Strong written communication skills, with experience preparing and editing executive-level correspondence, reports and committee documentation.
  • Excellent interpersonal and stakeholder engagement skills, with the confidence to work effectively with senior leaders and diverse internal and external stakeholders.
  • Strong analytical and problem-solving capability, with a practical approach to identifying issues and progressing solutions.
  • Strong digital capability, including proficiency across Microsoft Office and contemporary collaboration tools.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
