The posting

We believe in bold ideas, diverse perspectives, and the drive to transform knowledge into impact. Here, your curiosity fuels progress, your voice shapes innovation, and your ambition helps redefine what’s possible within science and learning. We are a culture that obsesses over impact, challenges, and drives what’s next to power infinite possibilities for our customers, colleagues and society at large.

About the Role:

The Security Coordinator is Wiley’s primary onsite resource for physical security and crisis readiness at its Hoboken headquarters. The role combines ownership of daily site security activities with access control, security technology support, incident follow-up, and coordination with Wiley’s contracted security integrator. The Coordinator also supports the Crisis Management Operations Center (CMOC) and, when needed, assists with crisis management efforts affecting other Wiley global locations.

This is an individual contributor role. The Coordinator independently handles established processes and routine incidents, helps improve procedures, and coordinates work across teams, escalates significant incidents, policy exceptions, safety matters, and changes to security standards to Global Physical Security leadership.

Job Responsibilities:

Access Control and Badging

  • Review and fulfill physical access requests for colleagues, contractors, and vendors, including badge issuance, clearance changes, and deactivation in C•CURE 9000.
  • Serve as the primary Hoboken contact for badge and access questions, resolving requests and escalating exceptions.
  • Support colleague onboarding and departures by issuing, recovering, and securely destroying badges, and verifying that access is removed when required.
  • Conduct periodic access reviews and badge audits; investigate expired credentials, unusual clearances, inactive cardholders, and other discrepancies.
  • Maintain accurate badge records and inventory, track requests and turnaround times, and coordinate replenishment before supplies become critical.
  • Assist with access requests, credential fulfillment, and data reviews for other Wiley locations as assigned.

Hoboken Security Operations

  • Conduct daily inspections of Wiley-occupied floors, identify security and safety concerns, and document corrective actions through resolution or escalation.
  • Coordinate with building security and internal teams on visitor access, property removal passes, onsite events, and access needs outside routine arrangements.
  • Check the operational status of cameras, alarms, access control devices, locks, and door hardware; perform initial troubleshooting and arrange repairs.
  • Support security planning and onsite coordination for executive visits, Board of Director meetings, and other conference center events requiring additional attention.
  • Provide practical recommendations on site-specific vulnerabilities, recurring access issues, and opportunities to strengthen procedures.

Security Platforms and Technology

  • Use C•CURE 9000 and Victor to review access activity, assess alarms, retrieve video, troubleshoot routine issues, and support authorized system inquiries and investigations.
  • Use Crisis24 Horizon and other approved tools to review alerts and information relevant to Wiley colleagues, facilities, and operations.
  • Document system faults, support requests, and corrective actions in Wiley's designated tracking systems, and troubleshoot with vendors as needed.
  • Assist with testing system changes, badge printers, cameras, access control equipment, and emergency notification tools; report defects and verify completed repairs.
  • Maintain accurate Hoboken site information, system records, and operating instructions for Global Physical Security and CMOC.
  • Identify recurring faults or data quality issues and work with CMOC, IT, and the security integrator to support resolution.

Security Integrator and Vendor Coordination

  • Serve as the primary onsite contact for Wiley’s contracted security integrator during Hoboken service calls, preventive maintenance, system testing, and approved installations.
  • Ensure routine preventive maintenance schedules are established and maintained for security systems and equipment, coordinating with security integrators to track completion and resolve identified issues.
  • Document equipment issues, provide relevant site and system information, and coordinate access to affected areas.
  • Monitor onsite work against the approved scope, communicate progress and delays, and escalate proposed scope changes or unexpected costs for approval.
  • Test repaired or installed equipment with the integrator, document the results, and follow up on unresolved issues.
  • Coordinate with building management, IT, and other Wiley teams when security work affects shared infrastructure or site operations.
  • Maintain a record of open service issues and help verify that completed work addresses the original problem.

Crisis Management and Emergency Preparedness

  • Serve as the onsite security contact for incidents affecting Hoboken, coordinating with building management, emergency responders, CMOC, and Wiley stakeholders.
  • Review alerts and available information for events that may affect Wiley colleagues or operations. Assess potential impacts, verify key facts, and escalate significant developments under established procedures.
  • Provide timely situation updates and support incident documentation, colleague accountability, welfare checks, and approved emergency communications.
  • Assist with evacuations, shelter-in-place events, severe weather responses, medical emergencies, and other disruptions affecting the Hoboken office.
  • Support CMOC, Regional Crisis Managers, and Global Physical Security during incidents affecting other Wiley locations when requested. Assistance may include gathering and verifying information, contacting designated local stakeholders, preparing situation updates, and tracking assigned actions.
  • Lead and oversee Hoboken’s Fire Warden, Fire Evacuation, and Medical Teams, coordinating training, emergency preparedness, drill readiness, and follow-up actions.
  • Identify site vulnerabilities, recurring incidents, and access or occupancy trends that may inform security assessments and crisis preparedness.

Incident Support and Investigations

  • Document and follow up on routine security incidents, gathering access records, video, statements, and other relevant information as directed.
  • Conduct preliminary reviews of minor incidents, establish a clear timeline of events, and identify matters requiring escalation to Global Physical Security leadership, HR, Legal, or law enforcement.
  • Handle incident information discreetly, limit access to those with a business need, and preserve records in accordance with Wiley procedures.
  • Prepare concise incident summaries with findings, outstanding questions, recommended next steps, and assigned follow-up actions.

Reporting, Training, and Continuous Improvement

  • Provide regular updates on access requests, audits, incidents, equipment issues, vendor work, emergency preparedness, and outstanding actions.
  • Prepare operational data and summaries that help Global Physical Security identify trends and measure service performance.
  • Provide practical guidance to colleagues and designated site contacts on badge procedures, visitor access, incident reporting, and emergency processes.
  • Help keep local procedures current and share lessons learned with CMOC and other Global Physical Security colleagues.
  • Support approved Global Physical Security projects and initiatives as assigned.

Required Qualifications:

  • 4 – 6 years’ experience in corporate security, law enforcement, the military, or a related field, with responsibilities spanning access control, incident response, and stakeholder support.
  • Working knowledge of access control, video surveillance, incident management, and emergency procedures.
  • Ability to assess information from multiple sources, document findings accurately, prioritize competing needs, and recognize when immediate escalation is required.
  • Strong written and verbal communication, sound judgment, discretion, and composure under pressure.
  • Ability to coordinate effectively with colleagues, building management, vendors, and emergency responders.
  • Ability to work onsite in Hoboken five days per week, Mon-Fri, during the established schedule, and respond to site emergencies as needed.
  • Ability to stand or walk for extended periods, use stairs, bend, reach, and lift up to 25 pounds, with or without reasonable accommodation.

Preferred Qualifications:

  • Bachelor's degree.
  • 6-10 years’ experience in corporate security, law enforcement, the military, or a related field.
  • Experience with C•CURE 9000, Victor, Crisis24 Horizon, or comparable platforms.
  • Experience supporting crisis response, emergency drills, access audits, security integrator coordination, or investigations.
  • Relevant security or emergency management training or certifications, such as ASIS CPP or PSP, FEMA emergency management courses, or CPR/First Aid/AED certification.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
