Position Summary
The Deposit Documentation Manager provides oversight for all aspects of the deposit documentation function. This position encourages innovation, efficiency and growth within the team to improve banking processes, manage compliance, and inspire excellence. The Deposit Documentation Manager supports management, team members, and customers with expertise in legal, compliance, and regulatory requirements for account documentation and is responsible for determining course of action for exception items. The Deposit Documentation Manager reports to the Deposit Operations Manager and provides excellent service and support to team members and customers while demonstrating the Company’s values and supporting the mission.
Position Duties & Responsibilities
• Provide leadership and support to the Deposit Documentation team, fostering a supportive and growth-oriented culture • Provide oversight for all aspects of the deposit documentation function including policies, procedures, and regulatory compliance • Responsible for ongoing review of policies and procedures related to deposit documentation, influencing revisions and updating as needed • Supervise, train, and mentor staff. Identify professional development opportunities and provide performance feedback on an ongoing basis. • Encourage innovation, efficiency and growth within the team to improve banking processes, manage compliance and inspire excellence • Assist in driving operational efficiency through strategic initiatives • Maintain familiarity with department processes and procedures, assisting in development and ongoing maintenance as changes occur • Verify deposit documentation input and review is completed in an accurate and timely manner • Responsible for determining course of action for exception items • Serve as a backup trainer for new hire orientation and development trainings related to deposit documentation • Maintain an acceptable annual audit rating for department processes • Support management, team members, and customers with expertise in deposit documentation to include titling of accounts, trusts, power of attorney, payable on death, etc. • Partner with various business units regarding cross-functional initiatives and special projects • Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications, and establishing personal networks • Attend training as requested • Adhere to compliance with all federal bank regulations and laws, including those for consumer protection and the Bank Secrecy Act/Anti-Money Laundering Program • Participate in outside community activities as required • Perform other duties as assigned
Required Qualifications
- High school diploma or GED
- Bachelor’s degree in business administration or related field preferred
- 5 years of experience in deposit documentation to include legal, compliance and regulatory requirements for account documentation
- 3 years of supervisory or leadership experience
- 1 year of experience with Jack Henry Silverlake systems as relates to deposit operations or deposit parameters preferred
- Proficient with Microsoft Office, Teams, OneNote, SharePoint, and other standard software applications
- Knowledge of federal regulations and state legal requirements as pertains to deposits
- Ability to apply technical knowledge and expertise to department policies and procedures using knowledge of banking principles and practices
- Ability to train others in one-on-one and presentation-style environments
- Ability to balance team and individual responsibilities, provide and welcome feedback, and contribute to building a positive team spirit
- Ability to develop, lead, and complete projects in a timely manner
- Ability to focus on high level of detail verification
- Strong ability to multi-task
- Excellent organization and communication skills as well as the ability to interact in a helpful and professional manner
- Ability to work on multiple projects simultaneously while accomplishing daily tasks
