The Escrow Officer role involves coordinating closing documents with buyers, sellers, lenders, and real estate agents, disbursing funds, and ensuring all documents are accurate and compliant with legal and regulatory standards.

Core Responsibilities

Coordinating

  • Responsible for entering closing figures and balancing files in ResWare Software.
  • Acts as the liaison between realtors and lenders prior to closing.
  • Work with the lender to obtain Lender’s Closing Package and Final CD (applicable for deals that are not classified as a cash deal).
  • Responsible for responding and handling emails and phone calls from borrower, agent, lenders, and any other persons involved with a transaction according to our CX guidelines.
  • Submits requests to Clearance Team for review of title clearance items and preparation of miscellaneous required documents for closing.
  • Reviews file’s supporting documentation, such as mortgage payoff statements, paid assessment letters, commission statements, tax bills, and anything else specific to file.

Escrow

  • Enter closing figures into the Closing Disclosure (Buyer/Seller CD) and Settlement Statement within Resware
  • Review title commitments and coordinate the collection of required title clearance items
  • Review mortgage payoffs to ensure accuracy and completeness
  • Audit invoices, bills, and commission statements for accuracy
  • Prepare, print, and organize all miscellaneous documents required for closing
  • Attend and facilitate real estate closings, greeting buyers, sellers, agents while ensuring all required documents and identification are in place prior to commencement
  • Ensure the closing package is properly executed, including all required signatures and dates
  • Serve as the liaison between Realtors and lenders during the closing process
  • Balance and disburse funds within Resware in accordance with lender instructions and seller attorney closing statements

Responsibilities by Task

Daily

  • Monitor “My Actions” queue in Resware, or relevant team task spreadsheet, for all assigned tasks, prioritizing files by closing date, and complete assigned items in Resware.
  • Monitor email daily for incoming requests and respond in accordance with CX guidelines
  • Coordinate files as needed and as assigned by management
  • Answer and respond to calls to direct work phone number within the same business day
  • For applicable teams, monitor the shared team inbox, assign tags as needed, and respond to email requests promptly
  • Update the coordinator checklist within each file, when applicable
  • Balance the bottom line in Resware to the Seller’s Closing Statement when provided
  • Stay current with the closing calendar to ensure awareness of all scheduled transactions and updates
  • Attend all scheduled closings as required
  • Respond to post-closing emails and resolve inquiries in a timely manner
  • Complete and address post-closing questions accurately and efficiently
  • Manage and respond to emails related to upcoming closings to ensure readiness and alignment
  • Participate in weekly activities and follow-ups as assigned to support closing operations
  • Deposit and/or deliver Seller Proceeds, Realtor Commissions and any funds as required daily.

Weekly

  • Attend team meetings either in person or virtual call (via camera) as scheduled by management
  • Participate in closing huddles with the Closing team to review updates, priorities, and workflow coordination
  • Utilize the “Held Funds Report” to identify and appropriately disburse any held funds associated with assigned files
  • Submit monthly expense reports in a timely manner, ensuring accuracy and proper documentation
  • Maintain adequate closing office supply levels by monitoring inventory and restocking as needed

Productivity Expectations

  • Respond to and/or acknowledge all personal and team emails within two hours, in accordance with CX guidelines
  • Accurately complete files by obtaining all required documentation and ensuring proper balancing to the final Lender’s Closing Disclosure (CD) and lender wire amounts
  • On average, close and disburse 5 files a week
  • Respond to emails throughout the closing process with timely status updates
  • Maintain a minimum of 80% accuracy, with a goal of 90% and above, in recording submissions with minimal errors
  • Ensure 1099 information is accurately entered into files with zero errors
  • Maintain zero file shortages

Requirements

Qualifications

  • 1-2 years previous title company experience and/or bachelors’ degree or established business background required.
  • Active Notary Public commission in the State required
  • Strong ability to work professionally and collaboratively in a team-oriented environment
  • Thrives in a customer service–focused role with a strong client service mindset
  • Excellent written and verbal communication skills
  • Open to feedback, adaptable, and willing to learn
  • Strong organizational skills with keen attention to detail
  • Excellent mathematical and analytical skills
  • Ability to prioritize multiple files and competing work demands in a fast-paced environment
  • Ability to handle confidential information and maintain data security and discretion
  • Proficiency with standard office equipment, including computers, fax machines, printers, telephone systems, and calculators

Salary Range

$55,000 - $70,000
