We are looking for a highly organized, proactive, and detail-oriented Executive Assistant to the Chief Executive Officer (CEO) to provide comprehensive administrative and operational support to the leadership team. The ideal candidate will be comfortable working in a fast-paced environment, managing multiple priorities, coordinating with internal and external stakeholders, and ensuring the CEO’s schedule and day-to-day activities run smoothly.
This role is ideal for someone who possesses excellent communication and organizational skills and can handle confidential information with professionalism and discretion. Candidates with prior experience as an Executive Assistant, Personal Assistant, Management Trainee, or in a coordination-heavy role are encouraged to apply.
Requirements
Key Responsibilities
- Manage the CEO’s calendar, appointments, meetings, calls, and day-to-day schedule.
- Coordinate internal and external meetings, including scheduling, agendas, meeting rooms, and follow-ups.
- Prepare presentations, reports, documents, meeting notes, and other executive-level communications.
- Act as a point of contact between the CEO and internal teams, clients, partners, investors, and other stakeholders.
- Track important action items, deadlines, and follow-ups arising from meetings and discussions.
- Assist the CEO in preparing for meetings by gathering relevant information, documents, and updates.
- Handle confidential and sensitive business information with a high level of discretion.
- Coordinate travel arrangements, itineraries, accommodation, and related logistics when required.
- Support the CEO with personal and professional administrative tasks as needed.
- Maintain organized records, documents, correspondence, and executive files.
- Follow up with teams and stakeholders to ensure timely completion of tasks assigned by the CEO.
- Assist with special projects, research, business initiatives, and ad-hoc assignments from the leadership team.
- Help improve administrative processes and create systems that make executive workflows more efficient.
Good-to-Have Skills
- Prior experience as an Executive Assistant or Personal Assistant.
