Operations Assistant
Employment Type: Part-Time (15-20 Hours/Week)
Compensation: $15-20 per hour
Location: Hybrid (On-site and WFH)
We are a specialized facility procurement and management company serving government clients nationwide. We identify, secure, open, and manage facilities nationwide, providing customized solutions for each client and location.
We’re looking for an Operations Assistant to help keep our facilities, vendors, and projects moving forward. Reporting directly to the Operations Manager, this role supports everything from researching potential properties and sourcing vendors to coordinating office setups and assisting with new site openings.
The ideal candidate is organized, resourceful, detail-oriented, and proactive, with a willingness to take ownership and follow tasks through to completion. You should be comfortable picking up the phone, communicating professionally with vendors and business partners, managing multiple priorities, and researching solutions independently when needed. You don’t need to know everything coming in—we’re looking for someone who learns quickly, takes initiative, and is willing to figure things out rather than waiting for the next step to be provided.
Role Responsibilities
Facility & Vendor Coordination
· Research commercial properties, vendors, and service providers in markets across the country.
· Contact prospective vendors and service providers by phone and email, obtain quotes, and organize findings for review.
· Coordinate with vendors, property contacts, and internal staff to address facility needs and keep projects moving.
· Assist with new office openings, relocations, furniture and equipment setup, and other facility-related projects.
· Maintain organized facility records, including vendor information, contracts, inventories, and compliance documentation.
Administrative & Operational Support
· Create and maintain internal trackers, workflow documents, reports, and operational records.
· Assist with correspondence, document organization, file management, and task tracking.
· Gather information and prepare clear, organized summaries for leadership review.
· Track assigned projects through completion and proactively communicate updates, challenges, or delays.
· Provide additional operational and administrative support as business needs evolve.
Requirements
· Strong written and verbal communication skills, including confidence in conducting outbound calls and communicating with external business partners.
· Strong organizational skills and attention to detail.
· Ability to manage multiple projects, priorities, and deadlines.
· Self-motivated, resourceful, and comfortable working independently.
· Willingness to take initiative, research solutions, and troubleshoot routine issues.
· Comfortable learning and working across multiple software platforms.
· Ability to travel up to 20% as needed for new site openings and facility projects.
· Previous experience in facilities coordination, office administration, vendor management, or operations support is preferred but not required.
