Who You Are
You are a coordinator — someone who thrives on keeping multiple moving parts organized, on track, and accounted for. You have worked in property management, real estate operations, facilities coordination, or a similar environment where tracking work orders, coordinating with vendors and service providers, following up on open items, and keeping clients informed was your daily reality. You know what it means to own a task list, chase confirmations, and escalate a risk before it becomes a problem. You communicate professionally in English, you document everything, and nothing falls through the cracks on your watch.
What You'll Be Doing
- Manage project schedules and task lists across multiple active projects — keep everything current and every item assigned with a due date.
- Conduct daily check-ins with field teams or superintendents to confirm progress, update statuses, and open new tasks as needed.
- Follow up with vendors, service providers, and suppliers on confirmations, lead times, delivery dates, and outstanding requests.
- Coordinate with clients on pending decisions, selections, and approvals against defined deadlines.
- Track work orders, inspections, purchase orders, and service requests across multiple active accounts.
- Monitor communication channels — email, phone, and messaging platforms — throughout the day and respond to client and vendor messages the same business day.
- Prepare weekly status summaries per account for management review.
- Document all decisions and commitments in writing — no verbal-only agreements.
Requirements
- 3+ years in property management, construction coordination, facilities management, or a similar operations role — required and must be documented on your resume.
- Experience coordinating with vendors, contractors, or field teams — tracking schedules, confirmations, and deliveries.
- Fluent written and spoken English — C1 required; you will communicate directly with U.S.-based clients and trades daily.
- Proficient in Google Workspace — Gmail, Calendar, Drive.
- Comfortable working with project management or property management platforms (Buildertrend, Buildium, AppFolio, or similar is a strong plus).
- Your last 3 positions should reflect an average tenure of at least 1 year per role; this will be verified during the screening process.
- Bachelor's degree or relevant experience preferred.
