Key Responsibilities

Asset Management

  • Develop and maintain a centralized asset management program for all five office locations.
  • Track the lifecycle of company assets including furniture, office equipment, audiovisual systems, security systems, and facility infrastructure.
  • Maintain accurate asset inventory and conduct periodic audits.
  • Establish asset replacement and depreciation schedules.
  • Analyze asset utilization and recommend improvements to optimize investments.
  • Ensure proper disposition, transfer, and retirement of company assets.

Facilities Operations

  • Oversee day-to-day facility operations across all office locations.
  • Coordinate preventive maintenance programs and facility inspections.
  • Ensure offices remain functional, safe, and aligned with company standards.
  • Manage office moves, expansions, consolidations, and workspace reconfigurations.
  • Partner with local site representatives to address facility-related issues and employee concerns.

Vendor & Contract Management

  • Manage relationships with landlords, maintenance providers, cleaning services, security companies, and other facility vendors.
  • Negotiate contracts and service agreements to achieve cost savings and service excellence in partnership with Procurement team.
  • Monitor vendor performance and ensure compliance with contractual obligations.
  • Coordinate procurement activities related to facilities and workplace assets.

Sustainability & Environmental Stewardship

  • Lead and implement sustainability initiatives across all five office locations to reduce environmental impact, lower operating costs, and support corporate sustainability objectives.
  • Monitor energy consumption, utility usage, while identifying opportunities for continuous improvement and cost savings.
  • Promote environmentally friendly products, furnishings, and equipment purchases.
  • Partner with site management, vendors, and internal stakeholders to promote environmentally responsible workplace practices.

Budget Management

  • Develop and manage annual facility and asset management budgets.
  • Monitor expenditures, analyze variances, and identify opportunities for cost optimization.
  • Support capital expenditure planning for facility improvements and asset replacement initiatives.
  • Provide regular financial reporting and forecasting to leadership.

Workplace Safety & Compliance

  • Ensure compliance with applicable workplace health, safety, environmental, and building regulations.
  • Coordinate emergency preparedness planning and business continuity initiatives with Corporate Safety team.
  • Support office safety committees and emergency response programs.
  • Maintain facility documentation, permits, certifications, and inspection records.

Space Planning & Workplace Experience

  • Manage office space utilization and workplace planning initiatives.
  • Develop workspace standards and seating strategies.
  • Coordinate conference room management and workplace amenities.
  • Support employee experience initiatives that improve workplace engagement and productivity.

Strategic Planning

  • Develop long-term facility and asset management strategies.
  • Analyze facility performance metrics, utilization trends, and operational risks.
  • Recommend improvements that enhance efficiency, reduce operating costs, and support organizational growth.
  • Lead facility and asset-related projects across multiple locations.

Qualifications

Education

  • Bachelor's degree in Facilities Management, Engineering, Construction Management, Business Administration, Supply Chain Management, Real Estate Management, Industrial Technology, or a related field.
  • Professional certifications such as IFMA (FMP, CFM), BOMI, PMP, or similar are preferred.

Experience

  • Minimum of 8+ years of progressive experience in facilities management, corporate real estate, asset management, or multi-site operations management.
  • Experience managing multiple office locations across a regional or national footprint.
  • Demonstrated experience managing budgets, vendors, and capital projects.
  • Experience implementing asset tracking systems and inventory controls.

Knowledge, Skills & Abilities

  • Understanding of facility maintenance, building systems, and workplace operations.
  • Excellent project management and organizational skills.
  • Strong financial and budget management capabilities.
  • Ability to negotiate and manage vendor relationships.
  • Knowledge of workplace safety regulations and compliance requirements.
  • Excellent communication and stakeholder management skills.
  • Ability to travel periodically between office locations up to 50%.
