The Opportunity

The Office & Community Manager will own the day-to-day workplace experience for Zuora’s Chennai office, creating a safe, efficient, welcoming, and well-maintained environment where employees and visitors can do their best work. Reporting to the APAC Workplace Manager, this role will connect facilities operations, vendors, budgets, employee programs, and community-building initiatives into one reliable workplace experience.

In the first 12–18 months, you will establish strong operating rhythms for the Chennai office, strengthen vendor and financial controls, improve workplace services, and help build an engaging office community aligned with regional workplace standards and business priorities.

What You’ll Do

Workplace Experience & Operations

  • Own daily workplace operations and ensure the office is safe, clean, functional, and ready for employees and visitors.
  • Oversee housekeeping, pantry, reception, security, maintenance, access control, transport, and related workplace services.
  • Conduct regular workplace inspections and coordinate timely resolution of facilities issues, maintenance requirements, and employee concerns.
  • Partner with the landlord, building management, service providers, and internal teams to maintain uninterrupted office operations.
  • Establish and maintain workplace procedures, service standards, records, checklists, and operating routines.

Vendor & Financial Management

  • Manage workplace vendors across sourcing support, quotations, negotiations, contracts, SLAs, AMCs, service reviews, and performance improvement.
  • Monitor service quality, vendor compliance, invoices, purchase orders, and timely payments in partnership with Finance and Procurement.
  • Support annual budgeting, expense tracking, forecasting, reporting, and cost optimization initiatives.
  • Identify opportunities to improve service delivery and operational efficiency while protecting the employee experience.
  • Maintain accurate records for contracts, assets, invoices, purchase orders, and workplace expenditure.

Employee Experience & Community Engagement

  • Plan and deliver employee engagement activities, celebrations, wellness initiatives, and community-building programs.
  • Create inclusive programs that encourage connection, collaboration, and a positive office culture.
  • Gather employee feedback and translate insights into improvements to workplace services and the office experience.
  • Manage workplace communications related to events, facilities updates, office guidelines, and employee initiatives.
  • Support initiatives that encourage meaningful office connection, collaboration, and a strong sense of community.

Events, Hospitality & Leadership Support

  • Coordinate workplace logistics for leadership visits, town halls, business meetings, team events, and external visitors.
  • Manage event planning across budgets, venues, catering, vendors, employee communications, and on-site execution.
  • Ensure meeting rooms, visitor areas, and office facilities are prepared to the required standard.
  • Deliver a professional, inclusive, and welcoming hospitality experience for employees, leaders, and guests.

Health, Safety & Compliance

  • Ensure compliance with applicable workplace, building, fire safety, environmental, and statutory requirements.
  • Coordinate workplace risk assessments, safety inspections, emergency drills, corrective actions, and follow-up activities.
  • Maintain emergency response procedures, incident records, safety documentation, and business continuity plans.
  • Work with building management, security, vendors, and internal teams to address workplace risks promptly.
  • Promote a culture of safety, inclusion, accessibility, and responsible workplace practices.

Space, Assets & Workplace Projects

  • Maintain accurate records of office assets, equipment, inventory, seating, and space utilization.
  • Coordinate workplace requirements for employee onboarding and offboarding, including access, seating, assets, and relevant handovers.
  • Support office moves, seating changes, maintenance projects, renovations, and workplace improvement initiatives.
  • Monitor office utilization and identify opportunities to improve space planning and resource allocation.
  • Partner with IT and other teams to ensure workplace readiness for new employees and changing business needs.

Sustainability & Continuous Improvement

  • Support initiatives related to energy efficiency, waste reduction, responsible purchasing, and sustainable workplace operations.
  • Monitor workplace feedback, service levels, vendor performance, and operational metrics to identify improvement opportunities.
  • Prepare periodic reports on workplace expenditure, vendor performance, employee engagement, and operational issues.
  • Share updates, risks, and recommendations with the APAC Workplace Manager and escalate issues requiring regional support.

About You

You may be a great fit if you:

  • Bring typically 6–8 years of experience in workplace operations, facilities management, corporate office administration, hospitality, or employee experience.
  • Have experience managing office services, vendors, budgets, events, workplace projects, and compliance requirements.
  • Can take ownership of local workplace operations, prioritize competing needs, and respond thoughtfully to time-sensitive issues.
  • Build trusted relationships with employees, leaders, vendors, landlords, and cross-functional partners.
  • Use sound judgment, organized processes, and practical problem-solving to improve service delivery.
  • Understand financial operations such as invoice validation, purchase orders, expense tracking, budget monitoring, and vendor cost control.
  • Communicate clearly and adapt your approach to different stakeholders and situations.
  • Are comfortable working independently while staying connected to regional standards, priorities, and support networks.
  • Use Microsoft Office or Google Workspace confidently and can learn procurement, ticketing, or facilities management systems.

Nice to Have

  • Experience in a technology, SaaS, or multinational corporate environment.
  • Experience supporting office moves, renovations, space planning, or workplace improvement projects.
  • Familiarity with sustainability, environmental health and safety, business continuity, or accessibility programs.
  • Experience creating employee engagement or community-building programs.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
