Wat verwachten we van jou?

Als administratief medewerker binnen team Gezin / Huis van het Kind ondersteun je de dagelijkse werking van de dienst. Je combineert administratieve taken met een klantvriendelijk onthaal en zorgt er mee voor dat gezinnen en andere bezoekers vlot de juiste informatie en ondersteuning vinden.

Je takenpakket is gevarieerd. Je staat onder andere in voor:

• een hartelijk, klantvriendelijk en professioneel onthaal van aanstaande ouders, gezinnen met kinderen en jongeren en andere bezoekers;

• luisteren naar vragen van bezoekers en aandacht hebben voor hun noden;

• verstrekken van duidelijke en correcte informatie en, waar nodig, gericht doorverwijzen naar de juiste dienst;

• verzorgen van de telefonische dienstverlening en beantwoorden of doorsturen van e-mails;

• behandelen van inkomende en uitgaande briefwisseling en post;

• verwerken van digitale aanvragen van burgers;

• invoeren, verwerken, controleren en beheren van gegevens in de gebruikte softwaretoepassingen;

• correct en nauwkeurig beheren van dossiers;

• ondersteunen van bezoekers bij het vervullen van administratieve formaliteiten;

• plannen en coördineren van afspraken;

• zorgen voor een correcte verslaggeving;

• mee zorgen voor een vlotte interne en externe communicatie;

• informeren en overleggen met collega's en bijdragen aan een goede informatiedoorstroom binnen de dienstverlening.

Daarnaast denk je mee na over de werking. Je bekijkt bestaande procedures en werkprocessen kritisch en signaleert waar zaken eenvoudiger of efficiënter kunnen worden georganiseerd.

Wie zoeken we?

Je bent iemand die klantgericht en nauwkeurig werkt en die zich thuis voelt in een omgeving waarin je regelmatig met verschillende vragen en doelgroepen in contact komt.

We vinden het belangrijk dat je:

• vlot en toegankelijk communiceert;

• zelfstandig én collegiaal kan werken;

• administratief sterk en nauwkeurig bent;

• vlot overweg kan met MS Office en bereid bent om andere softwaretoepassingen aan te leren;

• goed kan omgaan met drukke momenten;

• procedures en afspraken correct opvolgt;

• discreet en deontologisch handelt;

• snel nieuwe informatie kan opnemen en toepassen;

• goede relaties kan opbouwen met collega's en externe contacten;

• openstaat voor verandering en bereid bent om voortdurend bij te leren.
