The posting

For an international and multicultural organisation based in Brussels, we are looking for an Administrative & Events Assistant to join their team.

In this role, you will be responsible for a variety of administrative and organisational tasks, while also supporting the organisation of events and activities.

Your responsibilities as Administrative and Events Assistant :

  • Managing the general mailbox and forwarding requests to the relevant person
  • Managing and organising documents through SharePoint, Teams and physical archives
  • Providing administrative support to the team and ongoing projects
  • Maintaining the annual calendar and keeping track of activities
  • Supporting the preparation of subsidy applications
  • Following up on memberships, sponsors and partners in collaboration with the accounting team
  • Supporting the organisation of events: contacting venues, caterers and suppliers, requesting quotations and coordinating practical details
  • Preparing meetings and ensuring everything is organised and running smoothly

Your profile as Administrative and Events Assistant :

  • Has a first experience in administration, or is a recent graduate looking to develop their experience
  • Is organised, proactive and hands-on
  • Is able to work independently and take initiative
  • Has good common sense and a strong sense of responsibility
  • Is discreet and understands the importance of confidentiality
  • Enjoys organising events and making sure everything is taken care of
  • Is comfortable working in a multicultural environment
  • Has a very good command of English; French and Dutch are a strong asset
  • Has a driving licence
