The posting

Een complexe afspraak plannen, een bestuursvergadering voorbereiden of een nieuwe collega welkom heten: jij regelt het met aandacht. Als managementassistent bij Veiligheidsregio Gelderland-Zuid (VRGZ) ondersteun je het hoofd Concernstaf en de bestuurssecretaris. Je ziet wat er nodig is, denkt mee en neemt werk uit handen. Dankzij jou zijn agenda's overzichtelijk, stukken compleet en afspraken duidelijk.

Jouw werkzaamheden:

• Je beheert agenda's en vindt een passend moment voor afspraken met verschillende betrokkenen. • Je leest mee in de mailbox van het hoofd Concernstaf en pakt taken actief op. Ook beheer je afdelingsmailboxen en handel je vragen en verzoeken af. • Je bereidt besprekingen voor, volgt besluiten en afspraken op en maakt bij enkele vergaderingen de notulen. • Je bereidt bestuursvergaderingen voor: je stelt agenda's op, controleert stukken en verstuurt uitnodigingen en documenten. • Je houdt verzendlijsten en archieven op orde en maakt samen met andere secretariaten jaarplanningen. • Je helpt nieuwe collega's aan een warm welkom en een goed voorbereide start. • Je onderhoudt contact met collega's en externe partners, zoals gemeenten.

Je werkt ongeveer 32 uur per week, van maandag tot en met donderdag. Eén dag per week thuiswerken is mogelijk, bij voorkeur op woensdag. Je start zo snel mogelijk, zodat de huidige managementassistent het werk goed aan je kan overdragen. De opdracht duurt ongeveer 3 tot 4 maanden, met kans op verlenging.

Functie-eisen: Jij wordt blij van een goed georganiseerde werkdag en helpt anderen graag vooruit. Je ziet wat aandacht nodig heeft en neemt zelf initiatief. Komen er meerdere vragen tegelijk binnen? Dan bepaal jij wat voorrang heeft en houd je overzicht. Je legt makkelijk contact, communiceert duidelijk en behandelt vertrouwelijke informatie zorgvuldig.

Verder heb je:

• Minimaal mbo-4 werk- en denkniveau. • Ruime ervaring als managementassistent of in een vergelijkbare ondersteunende functie, bij voorkeur mee
