The Project Manager II – Marketing position exists to be responsible for planning, coordinating, and executing multi-channel Sustainer marketing and fundraising campaigns from concept through deployment. This role serves as a central liaison between Print Buyers, Marketing, Email Operations, Data Services, and Postal Support teams, ensuring projects are delivered on time, accurately, and in alignment with organizational goals.  The ideal candidate possesses a strong understanding of donor marketing and fundraising strategies, campaign development workflows, audience segmentation, and project management best practices. This individual is highly organized, detail-oriented, emotionally intelligent, and able to proactively identify opportunities for process improvement, efficiency gains, and automation. Beyond managing project timelines and deliverables, the position serves as a strategic partner who critically evaluates requests, anticipates risks, asks thoughtful questions, and helps optimize campaign execution across multiple stakeholders.      Essential Duties and Responsibilities:   Project Planning & Campaign Execution:  

Manages end-to-end project lifecycles for fundraising campaigns.

 

Develops, maintains, and communicates project schedules, timelines, milestones, and dependencies.  Coordinates campaign execution across multiple teams to ensure successful delivery of email, direct mail, digital, marketing, and fundraising initiatives.  Facilitates project kickoff meetings, status updates, stakeholder reviews, and post-campaign assessments.  Monitors project progress and proactively address risks, bottlenecks, and resource constraints.  Ensures all projects align with established business objectives, brand standards, and operational requirements. 

    Cross-Functional Team Coordination:   

Maintains an awareness of the Marketing Department’s acquisition efforts and lead generation initiatives as it relates to fundraising campaign development and content creation.  Coordinates with the Email Team to ensure email assets are developed, tested, approved, and scheduled according to campaign timelines.  Collaborates with the Data Services Team to submit audience and donor list requests, validate requirements, and ensure accurate data delivery.  Serves as the primary point of contact among stakeholders, ensuring clear communication and accountability throughout project/campaign execution. 

    Process Management & Optimization:

Evaluates existing workflows and identify opportunities to improve efficiency, scalability, and campaign effectiveness.  Recommends and implements process improvements that reduce manual effort and streamline handoffs between teams.  Identifies opportunities for automation using available tools and technologies.  Creates, maintains, and improves project documentation, standard operating procedures, and workflow processes.  Applies critical thinking to project requests and challenge assumptions when necessary to improve outcomes. 

    Quality Assurance & Compliance: 

Ensures campaign deliverables meet quality and branding standards before deployment.  Reviews project components for accuracy, completeness, and adherence to established processes.  Verifies segmentation requirements, project details, schedules, and stakeholder approvals.  Manages change requests and ensure revisions are accurately communicated and implemented. 

    Reporting & Analysis:   

Tracks project performance against timelines, deliverables, and objectives. 

 

Produces project status reports and/or dashboards for CRM department and stakeholders. 

 

Analyzes campaign workflows and project outcomes to identify trends and opportunities for continuous improvement. 

 

Supports post-campaign reviews and lessons-learned discussions.

    Managerial Breadth/Scope of Job:  

General marketing management and planning, including process management Facilitates activities for teams of varying skills and functions from all areas of the ministry

    Knowledge/Experience:  

Bachelor's degree in Marketing, Business Administration, Communications, Project Management, or related field; or equivalent combination of education and experience.  5-7 years of project management experience supporting marketing, fundraising, development, or customer engagement initiatives.  Experience managing cross-functional projects involving multiple stakeholders and departments.  Experience working with marketing automation and CRM platforms.  Demonstrated success improving workflows and operational processes. 

    Preferred Qualifications:

Project Management Professional (PMP), Certified Associate in Project Management (CAPM), or similar certification.  Experience in nonprofit, fundraising, donor development, ministry, or mission-driven organizations. 

 

Thorough understanding of donor segmentation, fundraising campaigns, direct response marketing, and/or retention strategies. 

 

Advanced proficiency in Salesforce, Salesforce Marketing Cloud, Smartsheet, and Aprimo. 

    Proficiency with:  

Smartsheet – Project planning, workflow management, and collaboration.  Aprimo – Marketing operations, workflow management, and campaign coordination.  Salesforce – CRM reporting, campaign tracking, and constituent management.  Salesforce Marketing Cloud – Email marketing workflows, audience management, and campaign execution coordination.  Microsoft Excel – Data analysis, reporting, tracking, and project metrics.  Microsoft Word – Documentation, requirements gathering, and process documentation. 

  Skills, Abilities, and Special Talents/Gifts:  

Strong understanding of project management methodologies, tools, and best practices.  Ability to manage multiple projects simultaneously while maintaining exceptional attention to detail.  Skilled at prioritizing competing deadlines and adjusting plans as business needs evolve.  Strong organizational and documentation skills.  Working knowledge of donor marketing and fundraising principles, including campaign planning, donor cultivation, audience segmentation, acquisition strategies, and retention efforts.  Understanding of campaign development processes from concept through execution and analysis.  Familiarity with email marketing best practices and donor journey planning.  Exceptional verbal and written communication skills.  Strong relationship-building and stakeholder management abilities.  High emotional intelligence (EQ) with the ability to navigate diverse personalities and priorities.  Ability to influence without direct authority and foster collaboration across departments.  Skilled facilitator who can drive meetings, gather requirements, and achieve consensus.  Demonstrates initiative and ownership beyond executing assigned tasks.  Able to evaluate business requests and proactively identify potential risks, gaps, and opportunities.  Strong analytical and problem-solving abilities.  Continuously seeks ways to improve processes, increase efficiency, and automate repetitive tasks.  Exercises sound judgment and discernment when making recommendations.
