POSITION SUMMARY

The Operations Coordinator supports the day-to-day coordination of recurring and project-based work, ensuring activities, documentation, and workflows are completed accurately and efficiently. Reporting to the Senior Coordinator, this role coordinates work order updates, client requirements, submissions, documentation, and billing support while maintaining accurate information across internal systems and shared platforms. Acting as a key liaison between field teams and internal stakeholders, the Operations Coordinator follows up on outstanding information, helps resolve operational gaps, and contributes to continuous process improvement. The ideal candidate brings strong organizational skills, attention to detail, a proactive approach, and experience within a civil construction environment.

CORE RESPONSIBILITIES

Billing & Financial

  • Pre estimate/take off submissions
  • Manage all billing activities
  • Process journal entries and maintain accrual sheet
  • Support cost tracking, comparisons, and special financial requests

Work Order Management

  • Manage work order lifecycle in across applicable programs
  • Manage cancellations, delays, and ISD extension coordination (with Intake Coordinator)
  • Manage restoration communication at 80% and 100% civil completion

Coordination, Documentation & Compliance

  • Confirm and track required job documentation with Foremen
  • Follow up on missing documentation (48 Hour timeline)
  • Manage shared inboxes and coordinate responses
  • Support WIH reporting by gathering general foreman inputs for submission
  • Manage subcontractor documentation (folder creation, uploads, transfers, notifications)

Field Support & Team Coordination

  • Coordinate with GFs, Restoration teams, and designers as needed
  • Complete BC1 refresh/new locates (weekly)
  • Confirm restoration timelines (initiate PPE if required)
  • Support general foreman with client requests and general follow-ups
  • Participate in coordinator meetings (weekly, monthly)

Team Support & Development

  • Provide cross-coverage across OC roles (vacation/time-off)
  • Support onboarding and training of new hires
  • Support internal reporting, tracking, and special project requests
  • Provides support on additional operational tasks as assigned

QUALIFICATIONS & SKILLS

  • Minimum one (1) years’ experience in an Operations Coordinator or similar role in the construction industry, is required
  • Knowledge of construction equipment and techniques, drawings and specifications, building materials, quality, safety, construction sequences and installation specifications, strongly preferred
  • Demonstrated understanding of cost summarization and quantity take-off, an asset
  • Strong computer skills and experience having worked with multiple platforms and operating systems including MS Office, Excel, MS Project
  • Excellent communication skills, with the ability to direct a team to efficiently and effectively complete jobs within deadlines
  • Able and willing to present a valid Class 5 Driver's License and an acceptable five (5) year drivers abstract

The range shown is the expected base pay range for this role. Final compensation will be determined based on role requirements, experience, qualifications, work location, applicable project/site requirements, internal equity, and any applicable collective agreement or union requirements.

This range does not include overtime, premiums, per diem / LOA, bonuses, benefits, or other forms of compensation unless specifically stated in the job posting.

Base Pay Range

$30—$35 CAD
