Job Description

FAST Operations Role Job Description

Position Summary

The FAST Operations role is responsible for coordinating the operational execution, communications, logistics, and process support required to deliver a consistent and high-quality experience for FAST rotators, managers, HR business partners, and program stakeholders. This role supports the full rotator lifecycle, including pre-hire coordination, onboarding, rotation placement, deployment planning, manager communication, program logistics, SharePoint maintenance, and headquarters experience coordination. The role requires strong organization, clear stakeholder communication, attention to detail, and the ability to manage multiple recurring program milestones throughout the year.

Key Responsibilities

Rotator Communication and Support

· Coordinate pre-start communication with new hires, including required actions related to AMEX setup, pre-hire travel, laptop pickup in Dallas, and other readiness activities.

· Provide timely communication to rotators throughout the program regarding program processes, logistics, rotation placements, deployments, and required next steps.

· Serve as a central point of contact for rotator-facing operational questions, helping ensure participants understand timelines, expectations, and program requirements.

Manager and Stakeholder Communication

· Communicate with managers regarding rotator start dates, assignments, rotations, deployment timing, and other program milestones using standardized email templates and communication protocols.

· Partner with Sales HRBPs, Business Unit HRBPs, managers, and program stakeholders to gather information, align timing, and support consistent execution of rotation and deployment processes.

· Maintain clear and accurate communication records, ensuring stakeholders receive timely updates and understand required actions.

Rotation and Deployment Assignment Coordination

· Drive the process for identifying third rotation assignments for TSRs and FAEs, including collecting manager preferences and coordinating with Business Unit HRBPs to understand available openings.

· Coordinate the process for identifying deployment assignments by notifying the Sales HRBP of upcoming deployments and supporting HRBP and manager alignment on assignments.

· Track assignment-related information, timelines, dependencies, and decisions to support accurate execution and reduce ambiguity for rotators and managers.

New Hire Orientation and Program Events

· Plan and execute Americas in-person New Hire Orientation events, currently held approximately three times per year in February, July, and September.

· Work with the Sales HRBP to align New Hire Orientation presenters, confirm session needs, coordinate schedules, and support a smooth participant experience.

· Manage logistics, preparation activities, communications, and follow-up actions required for successful orientation delivery.

Program Documentation and SharePoint Maintenance

· Maintain the FAST SharePoint site with current and accurate information needed by managers, rotators, and program stakeholders.

· Update program materials, reference information, templates, and supporting documentation to ensure stakeholders have access to the latest process guidance.

· Identify opportunities to improve program documentation, communication tools, and information accessibility.

Worldwide Headquarters Experience Coordination

· Partner with existing GP support resources to ensure the Worldwide Headquarters Experience is scheduled and coordinated effectively.

· Coordinate facilitators, confirm session logistics, and ensure rotators receive necessary communications for travel and Dallas-based activities.

· Support cross-functional coordination to help deliver a consistent, organized, and professional headquarters experience for rotators.

Required Qualifications

· Experience in program coordination, learning operations, HR operations, onboarding support, training coordination, data processing, analysis, or a related operational role.

· Excellent verbal and written communication skills, with the ability to communicate clearly, positively, and professionally with new hires, managers, HR partners, client stakeholders, and cross-functional teams.

· Strong organizational and time management skills, with demonstrated ability to manage multiple timelines, recurring program milestones, logistics, stakeholder dependencies, and competing priorities.

· Proficiency with Microsoft Outlook, Excel, Word, PowerPoint, Teams, Webex, and SharePoint, including experience maintaining SharePoint content and stakeholder-facing program resources.

· Ability to process, analyze, and organize program information to support accurate tracking, reporting, decision-making, and stakeholder updates.

· Collaborative team player with a can-do attitude, strong follow-through, and the ability to work effectively in an agile, fast-paced environment.

Preferred Qualifications

· Experience supporting rotational development programs, early-career programs, sales programs, technical programs, or enterprise onboarding experiences.

· Experience working with HR business partners, managers, and program stakeholders in a matrixed environment.

· Experience coordinating in-person learning events, orientations, travel logistics, or headquarters-based experiences.

· Ability to improve operational processes, communication templates, tracking tools, and stakeholder-facing resources.

Key Competencies

· Excellent verbal and written communication

· Positive, professional communication style

· Strong organization, planning, and time management

· Teamwork, collaboration, and stakeholder partnership

· Can-do attitude and ownership mindset

· Problem solving and proactive issue resolution

· SharePoint experience and program documentation management

· Webex experience for virtual meeting coordination, facilitation support, and stakeholder communications

· Data processing, analysis, and accuracy

· Ability to effectively update client stakeholders and internal partners

· Agility and adaptability in a fast-paced, recurring program environment

Success Measures

· New hires receive clear and timely pre-start communication and complete required readiness actions before program start.

· Managers and HR stakeholders receive accurate, standardized, and timely updates regarding start dates, assignments, rotations, and deployments.

· Rotation and deployment assignment processes are executed on schedule with clear tracking of preferences, openings, decisions, and next steps.

· Americas New Hire Orientation events are planned and delivered with aligned presenters, effective logistics, and a positive participant experience.

· The FAST SharePoint site remains current, accurate, and useful for managers, rotators, and stakeholders.

· Worldwide Headquarters Experience activities are scheduled, communicated, and coordinated effectively.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
