Job Summary

As an Admin Executive at Healthworkz Pte Ltd, you will manage order fulfillment, sales reporting, inventory control, and regulatory compliance to support smooth operations and contribute to business growth.

Responsibilities

  • Track and verify customer orders, invoices, and delivery orders to ensure successful deliveries with complete documentation and accurate invoice posting
  • Generate sales reports to provide insights on sales performance and trends
  • Prepare price quotations and update the product catalogue to maintain accurate pricing information
  • Consolidate customer orders, issue Sales Orders and Purchase Orders, and monitor shipment status to ensure timely delivery
  • Monitor regulatory requirements for product categories, verify ingredient compliance, and prepare product labels accordingly
  • Complete product listing forms, maintain customer stock cards, and track order fulfillment to support customer service
  • Manage stock inventory by creating new product codes, conducting stock audits, and uploading received stock into the inventory system
  • Maintain proper filing and organization of accounting records and official documents to support audit readiness
  • Provide administrative support to Sales and Accounts teams to facilitate daily operations
  • Assist with ad hoc duties and projects assigned by Management to support business needs

Required competencies and certifications

  • Diploma or equivalent qualification with at least 2-3 years of relevant working experience

Preferred competencies and qualifications

  • Working knowledge of basic accounting software (e.g., AutoCount) to support accounting tasks
  • Proficiency in English to communicate effectively in a business environment
  • Proficiency in MS Excel to manage data and generate reports
  • Personal traits: mature, independent, meticulous, and resourceful to perform tasks accurately and efficiently
