Role Overview

We are seeking a highly organized and performance-driven Manager – Sales Administration to oversee the administrative and operational functions of the sales department. The successful candidate will play a critical role in supporting sales operations, monitoring field sales performance, ensuring compliance with company policies, and driving operational discipline across sales channels. This role requires extensive field engagement, strong leadership capabilities, analytical thinking, and the ability to coordinate effectively with sales, HR, supply chain, and depot management teams to achieve business objectives.

Key Responsibilities

  • Oversee the administrative and operational functions of the sales department to ensure smooth execution of sales activities.
  • Ensure effective staffing across showrooms, van sales operations, and depots.
  • Monitor adherence to route plans and ensure field sales discipline and productivity.
  • Manage mobile tracking systems and conduct random field audits to verify compliance and operational effectiveness.
  • Perform regular audits of merchandising standards, cash handling procedures, cheque banking processes, and field operations.
  • Spend a significant amount of time conducting field visits to retail and wholesale locations to regularize systems and improve operational performance.
  • Ensure all sales personnel comply with company policies, guidelines, and operational procedures.
  • Initiate disciplinary actions where policy violations or performance issues are identified and coordinate with HR on serious matters.
  • Maintain accurate sales performance data by individual, location, territory, and region.
  • Monitor sales performance against company targets and provide management with actionable insights.
  • Prepare, validate, and administer incentive calculations for sales and distribution teams.
  • Coordinate the approval process and ensure timely submission of incentive payments.
  • Monitor and approve travel claims, subsistence allowances, and operational expenses of field staff.
  • Address employee grievances and support conflict resolution initiatives within the sales workforce.
  • Participate in recruitment and selection activities for field sales personnel in collaboration with Territory Managers and HR teams.
  • Conduct regular visits to warehouses, regional depots, and distribution facilities to ensure operational compliance.
  • Work closely with Supply Chain and Depot Management teams to implement corrective actions and process improvements.
  • Represent the organization in legal and administrative matters when required.
  • Support employee engagement initiatives, recognition programs, and company events.

Candidate Profile

  • Bachelor's Degree in Business Administration, Management, Marketing, or a related discipline.
  • Proven experience in Sales Administration, Sales Operations, Field Sales Management, or a similar managerial role.
  • Strong understanding of retail distribution, wholesale operations, and field sales processes.
  • Experience managing sales performance monitoring systems and incentive administration.
  • Strong leadership and people management capabilities.
  • Ability to manage employee discipline, performance monitoring, and grievance handling processes.
  • Excellent analytical skills and proficiency in sales reporting and performance tracking.
  • Strong communication, negotiation, and stakeholder management skills.
  • Ability to work extensively in the field and manage geographically dispersed teams.
  • Experience working within FMCG, distribution, retail, or consumer goods sectors will be a strong advantage.
  • High levels of integrity, accountability, and attention to detail.
  • Strong problem-solving and decision-making capabilities.
