You will work across multiple financial systems to investigate discrepancies, maintain supporting documentation, and ensure transactions are recorded accurately and on time. The role also offers opportunities to support sales tax reconciliation, audit preparation, and tax-related activities. You will leverage accounting expertise and AI-powered tools to streamline recurring processes and improve operational efficiency. This position is well suited to an organized accounting professional who values ownership, continuous improvement, and collaboration within a lean finance team.
Accountabilities:
- Manage general ledger transactions and accounts payable, including coding vendor invoices by account and department, preparing payment runs for Controller review, maintaining vendor records and W-9 forms, and preparing 1099s.
- Administer corporate card and expense activity across Ramp and other company card programs, including coding transactions, following up on missing receipts, and reconciling monthly statements.
- Review daily bank feed activity in QuickBooks Online and prepare monthly reconciliations for all operating and sweep accounts.
- Reconcile accounts receivable and undeposited funds between Maxio and QuickBooks Online, partnering with the billing team to investigate and resolve discrepancies.
- Support the month-end close by preparing and posting journal entries, recording accruals and recurring entries, and maintaining prepaid expense, fixed asset, and depreciation schedules.
- Reconcile balance sheet accounts against supporting documentation and complete assigned close checklist tasks accurately and on schedule for Controller review.
- Assist with sales tax activities by tracking obligations across applicable states and reconciling Avalara records with the general ledger.
- Maintain audit-ready accounting documentation and support audits, tax filings, and other finance projects as required.
- Identify opportunities to use AI tools and automation to improve recurring accounting processes and operational efficiency.
- Bachelor's degree in accounting or a related field, or equivalent professional experience.
- At least 3 years of accounting experience, including month-end close responsibilities.
- Working knowledge of accrual accounting under GAAP, including prepaid expenses, fixed assets, depreciation, and accruals.
- Hands-on experience with QuickBooks Online or a comparable general ledger system.
- Experience using AI tools such as Claude in accounting workflows, with an interest in automation and process improvement.
- Intermediate Excel skills, including lookup functions, pivot tables, and the preparation of reconciliation schedules.
- Ability to reconcile data across multiple platforms, such as billing systems, expense management tools, and general ledger software.
- Basic knowledge of sales tax principles, including familiarity with sales tax reconciliation.
- Strong attention to detail, organizational skills, and the ability to meet financial close deadlines independently in a remote environment.
- Clear communication and problem-solving skills, with the ability to investigate discrepancies and document findings effectively.
- Familiarity with Maxio or similar subscription billing and revenue recognition platforms, such as Chargebee, Zuora, or Recurly.
- Experience with Ramp or another corporate card and expense management platform.
- Exposure to SaaS or e-commerce accounting, including subscription revenue recognition under ASC 606.
- Experience working on a lean finance team and reporting directly to a Controller or CFO.
- Annual salary: $70,000–$80,000, depending on relevant experience, education, skills, and location.
