The posting

Lotus Group is proud to partner with an established professional accounting firm as they search for an experienced Bookkeeper to support their growing client base. This individual will play an important role in managing day-to-day bookkeeping activities, coordinating client accounting requirements, and ensuring the timely and accurate completion of financial records and year-end documentation.

The ideal candidate will bring hands-on full-cycle bookkeeping experience, strong organizational skills, and the ability to manage multiple client accounts and competing deadlines. Working closely with accountants and account managers, this individual will serve as a key point of contact for clients, coordinating year-end schedules, gathering financial information, and ensuring accounting work is organized and completed efficiently.

This opportunity is well suited to a detail-oriented, relationship-driven bookkeeping professional who enjoys working with small to mid-sized businesses across industries such as agriculture, construction, homebuilding, and medical services. The successful candidate will combine technical bookkeeping knowledge with excellent communication, client service, and administrative coordination skills.

Role Responsibilities

Client Relationship Management & Coordination

  • Serve as a primary point of contact for assigned clients, maintaining professional relationships and providing timely communication regarding accounting and bookkeeping requirements.
  • Act as a liaison between clients, accountants, and account managers to ensure accurate information flow and timely completion of work.
  • Coordinate and schedule client year-end accounting activities, ensuring required documentation is collected and deadlines are communicated.
  • Maintain regular communication with clients regarding outstanding financial information, documentation requests, and upcoming accounting deadlines.
  • Respond to client inquiries professionally and efficiently, escalating technical accounting matters to the appropriate accountant or account manager.
  • Support a positive client experience through proactive communication, responsiveness, and attention to detail.

Full Cycle Bookkeeping & Financial Administration

  • Perform full-cycle bookkeeping for small to mid-sized businesses, ensuring accurate and timely recording of financial transactions.
  • Maintain general ledgers, record journal entries, and complete bank and credit card reconciliations.
  • Manage accounts payable and accounts receivable, including invoice processing, payment recording, and account reconciliations.
  • Prepare and maintain quarterly bookkeeping records and financial information for client review.
  • Process payroll for small businesses, including payroll calculations, deductions, remittances, and related recordkeeping.
  • Prepare and file GST returns, ensuring accurate reporting and compliance with applicable deadlines.
  • Complete financial data entry, transaction coding, and maintenance of accurate accounting records.
  • Identify discrepancies, missing information, and bookkeeping issues, working with clients and accountants to resolve them.

Client Scheduling & Workflow Management

  • Coordinate and maintain schedules for upcoming client accounting work, including year-end engagements, quarterly reporting, and recurring bookkeeping requirements.
  • Track incoming client files and documentation to ensure work is organized and assigned to the appropriate accountant or account manager.
  • Monitor deadlines, outstanding client information, and the progress of accounting engagements.
  • Maintain accurate records of scheduled and completed work, providing updates to accountants and account managers as required.
  • Prioritize multiple client accounts and competing deadlines to support efficient workflow and timely service delivery.
  • Proactively follow up with clients to obtain outstanding information and prevent delays in completing accounting work.

Year End Preparation & Documentation

  • Assist accountants with year-end preparation by organizing financial records, reconciliations, and supporting documentation.
  • Coordinate the collection and review of client financial information required for year-end accounting engagements.
  • Prepare, assemble, and bind year-end financial statements and related documentation in both physical and electronic formats.
  • Maintain organized electronic and physical client files, ensuring accuracy, completeness, and confidentiality.
  • Support the preparation and distribution of finalized financial packages and year-end documentation to clients.
  • Ensure client records and supporting documents are properly maintained and readily accessible to the accounting team.

Administrative Support & Team Collaboration

  • Work closely with accountants, account managers, and administrative staff to support efficient client service and workflow management.
  • Provide accurate data entry, document preparation, filing, and general accounting administration.
  • Maintain confidentiality of client financial information and ensure appropriate handling of sensitive documentation.
  • Identify opportunities to improve administrative processes, client communication, and bookkeeping workflows.
  • Assist with additional accounting and administrative responsibilities as required.

Qualifications & Experience

  • Demonstrated experience in bookkeeping, accounting administration, or a similar role, ideally within a public accounting firm or professional accounting services environment.
  • Strong working knowledge of full-cycle bookkeeping for small to mid-sized businesses, including general ledger maintenance, reconciliations, accounts payable, and accounts receivable.
  • Experience processing payroll for small businesses, including statutory deductions, remittances, and payroll recordkeeping.
  • Experience preparing and filing GST returns and maintaining accurate financial records for reporting purposes.
  • Ability to manage multiple client accounts, organize accounting schedules, and coordinate year-end documentation and deadlines.
  • Strong client relationship management skills, with experience communicating directly with clients and coordinating information between internal accounting teams and external stakeholders.
  • Excellent organizational and time management skills, with the ability to prioritize competing deadlines and maintain accuracy in a fast-paced environment.
  • Strong attention to detail, accuracy in financial data entry, and the ability to identify and resolve discrepancies.
  • Proficiency with Microsoft Office Suite, particularly Excel, and familiarity with computerized accounting software.
  • Strong written and verbal communication skills, with a professional and service-oriented approach.
  • Ability to work independently while collaborating effectively with accountants, account managers, and other team members.
  • Willingness and ability to work full-time in an office-based environment.

Preferred Qualifications

  • A degree or diploma in Accounting, Business Administration, Bookkeeping, or a related discipline. Equivalent hands-on bookkeeping experience will be considered in lieu of formal education.
  • Previous experience working in a public accounting firm or an environment supporting multiple business clients.
  • Experience providing bookkeeping and accounting support to small and mid-sized businesses, particularly within agriculture and farming, homebuilding, construction, and medical or healthcare-related industries.
  • Experience coordinating client year-end schedules, organizing accounting engagements, and preparing financial documentation for accountants.
  • Familiarity with accounting software such as QuickBooks, Sage, or comparable bookkeeping platforms.
  • Experience with electronic document management, year-end financial statement preparation, and physical or electronic binding of client financial packages.
  • Understanding of Canadian bookkeeping practices, payroll requirements, GST reporting, and general accounting procedures.

Cultural Fit

The ideal candidate will:

  • Be a highly organized, detail-oriented professional who takes pride in accuracy, efficiency, and meeting deadlines.
  • Bring a strong customer service mindset and enjoy building positive, long-term relationships with clients.
  • Demonstrate initiative, accountability, and the ability to independently manage multiple client files and priorities.
  • Be comfortable communicating directly with business owners, accountants, and internal team members.
  • Possess a proactive approach to problem-solving, following up on outstanding information, and keeping accounting work on schedule.
  • Be adaptable and comfortable balancing hands-on bookkeeping responsibilities with client coordination and administrative tasks.
  • Thrive in a collaborative, professional office environment that values teamwork, reliability, confidentiality, and exceptional client service.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
