The posting

The Operations Executive plays a key role in supporting the day-to-day administration and servicing of insurance policies. The position is responsible for ensuring accurate processing of policy transactions, invoicing, insurer correspondence, documentation management, and operational support to brokers and client servicing teams.

Key Responsibilities

Policy Administration

  • Process new business, renewals, endorsements, cancellations, and policy issuances.
  • Prepare and review insurance documentation for accuracy and completeness.
  • Maintain policy records and ensure timely updates in the broking system.
  • Ensure all client and insurer documentation is properly filed and maintained.

Operational Support

  • Provide operational support to brokers and account servicing teams.
  • Liaise with insurers, underwriters, and clients on administrative matters.
  • Follow up on pending quotations, policy documents, endorsements, and renewals.
  • Track outstanding requirements and ensure timely completion.

Premium Invoicing

  • Generate debit notes, invoices, and credit notes.
  • Process premium collections and insurer payments.
  • Support reconciliation of premiums, commissions, and insurer statements.

Compliance & Documentation

  • Ensure compliance with internal procedures and regulatory requirements.
  • Support know-your-customer (KYC) and client onboarding processes.
  • Maintain accurate and complete audit trails for all transactions.
  • Assist in preparing documents required for internal and external audits.

Reporting & Data Management

  • Maintain accurate data within insurance and broker management systems.
  • Prepare operational and management reports as required.
  • Monitor data quality and resolve discrepancies promptly.
  • Support system testing and process improvement initiatives.

Requirements

Qualifications

  • Diploma or Degree in Business, Insurance, Finance, Accounting, or a related field.
  • Insurance qualifications such as CGI, ANZIIF, or equivalent are advantageous.

Experience

  • 2-5 years of experience in insurance broking, insurance operations, or policy administration.
  • Familiarity with general insurance products and insurance documentation.
  • Experience working with insurers, underwriters, and policy administration systems.
  • Knowledge of premium processing and invoicing procedures is preferred.

Skills & Competencies

  • Strong administrative and organizational skills.
  • High attention to detail and accuracy.
  • Good communication and interpersonal skills.
  • Ability to manage multiple tasks and deadlines effectively.
  • Proficiency in Microsoft Office, particularly Excel.
  • Customer-focused with a proactive and team-oriented approach
