Position Objectives
Support the Finance team through accurate accounts payable processing, billing management, client onboarding and other ad hoc tasks as required. Ensure financial information across internal and client systems is timely, accurate and compliant with company policies. Provide high-quality service to consultants and clients by maintaining smooth data workflows, robust contract oversight and effective communication.
Key Responsibilities and Duties
Billing
- Ensure timely uploading of invoices into client systems.
- Create and maintain reconciliation of invoices between SAGE and client systems.
- Assist with maintaining accurate billing records.
- Investigate and resolve billing discrepancies
- Check assignment rates and purchase orders to ensure billing accuracy.
Client Onboarding
- Review and validate new client records created in Salesforce, ensuring all required client, billing, compliance, invoicing, and supporting documentation are complete, accurate, and maintained in accordance with company policies and procedures.
Accounts Payable & Processing
- Review, verify and input vendor invoices into SAGE with accurate coding and tracking.
- Set up and run regular weekly payment batches, ensuring vendors are paid accurately and on time.
- Manage the employee expense claim process.
- Manage corporate credit card reconciliations.
Accounting & Reporting
- Maintain cash flow expense forecast.
- Prepare operational reports as requested by consultants and clients.
- Assist in the preparation of monthly, quarterly, and annual financial reports for management.
- Support the Finance team with ad hoc tasks.
Safety
- Ensure that OHSMS procedures are managed and adhered to, and that any corrective or preventative actions are swiftly implemented and monitored
- Take reasonable care for own health and safety and that of others;
- Cooperate with any health and safety policies and procedures from employer;
- Obey all safety signs, instructions and wearing any personal protective equipment;
- Report workplace issues;
- Participate in consultation processes and communicating any relevant OHS information; and assisting (where possible) in the resolution process.

- Liaise with staff, consultants, and clients to provide finance-related assistance.
- Maintain confidentiality of financial and employee information.
Skills and Knowledge Required
Essential
- Previous experience working in an accounting team.
- Strong understanding of accounting and finance processes.
- Strong reporting and analytical skills.
- Strong numerical speed and accuracy.
- Ability to review and process work orders in line with policy.
- Good written and verbal communication skills.
- Excellent working knowledge of Microsoft Excel.
- Good working knowledge of Microsoft Word.
- Strong communication and customer service skills.
