Engineering Documentation & Project Coordinator

Location: Chesterfield, VA Job Type: Direct Hire Schedule: Monday–Friday, 40 hours/week Pay: Starting at $60,000/year; higher depending on experience

Position Overview

We are seeking an organized and detail-focused Engineering Documentation & Project Coordinator to support engineering and manufacturing operations. This role will manage technical documentation, engineering records, document revisions, release packages, and project information while helping improve how engineering data is organized and maintained.

The ideal candidate is comfortable working with engineers, manufacturing teams, and other departments and enjoys creating practical systems that keep information accurate, current, and easy to access.

Key Responsibilities

  • Maintain engineering records including CAD models, drawings, specifications, bills of materials, work instructions, test records, forms, and released PDFs.
  • Support SOLIDWORKS PDM workflows, including metadata, revisions, release statuses, templates, and document history.
  • Manage engineering files and project information in SharePoint, including document libraries, permissions, metadata, version history, and approvals.
  • Prepare and coordinate engineering release packages, ensuring required drawings, supporting documents, approvals, and revision information are complete.
  • Maintain proper separation between working files, approved documents, released product data, and obsolete records.
  • Review and organize legacy engineering information stored across network drives, OneDrive, SharePoint, local folders, and other systems.
  • Coordinate document approvals, periodic reviews, revision notifications, and archival activities.
  • Follow up with document owners and approvers to keep documentation current.
  • Maintain physical and electronic project records, including drawings, photographs, test documentation, project binders, and customer or supplier reference information.
  • Work with Engineering and Manufacturing to ensure current drawings, work instructions, and technical documents are available where needed.
  • Assist with project coordination, schedule updates, documentation tracking, action items, and cross-functional communication.
  • Support validation testing by organizing test plans, test records, supporting evidence, and final documentation.
  • Coordinate with Engineering, Manufacturing, Operations, Purchasing, vendors, and suppliers to support project completion and timely document releases.
  • Help develop standardized engineering and manufacturing documentation practices, templates, naming conventions, and workflows.
  • Prepare reports related to document status, pending approvals, overdue reviews, release readiness, data migration, and process improvements.
  • Train and assist users with document-control procedures, PDM and SharePoint workflows, and applicable engineering standards.
  • Identify documentation and workflow gaps and recommend practical improvements.
  • Maintain familiarity with company products, engineering documentation practices, and applicable industry standards.

Required Qualifications

  • Associate degree or comparable experience in technical, manufacturing, engineering, quality, or document control preferred.
  • 5+ years of experience in engineering support, manufacturing, technical documentation, project coordination, document control, or a related field.
  • Ability to read and understand manufacturing CAD drawings, schematics, bills of materials, and technical documentation.
  • Strong organizational, administrative, written communication, and follow-through skills.
  • Excellent attention to detail and ability to manage multiple records and priorities.
  • Working knowledge of document revision control, approval processes, controlled documents, and records management.
  • Proficiency with Microsoft Office, especially Excel, Word, Outlook, and Teams.
  • Ability to work independently and collaborate with engineers, manufacturing personnel, supervisors, and other departments.
  • Valid driver's license.

Preferred Qualifications

  • Experience with SOLIDWORKS PDM, SharePoint, Microsoft Teams, OneDrive, or similar document-management systems.
  • Experience with engineering releases, controlled technical documentation, manufacturing records, or quality documentation.
  • Background in data migration, document-library organization, workflow administration, or process standardization.
  • Familiarity with OSHA, ASME, AWS, AAR, or other applicable engineering/manufacturing standards.

Work Environment & Physical Requirements

  • Primarily office-based with regular interaction in engineering, manufacturing, and shop environments.
  • Ability to sit, stand, walk, and communicate throughout the workday.
  • Ability to safely work in office, engineering, manufacturing, and shop areas, including occasional bending, stooping, or climbing.
  • Ability to occasionally lift and carry files, tools, parts, or equipment weighing up to 25 lbs. Assistance is available for heavier or ergonomically challenging items.
  • Occasional travel between company locations, customer or vendor sites, and field operations may be required.
