Our mission is to make the world a better place to work and to achieve this mission we need a Workspace Experience Team Member that is focused on providing the best experience to RG guests and RG people in our Sofia office. Your objective is to deliver amazing office experience to employees and guests. You will do this by ensuring our offices run professionally, smoothly, and effectively, enable our people to do their best work and be the most productive, and inspire visitors to build long-term relationships with RG.
This is a part-time position, 20 hours per week. Working hours: 09h00am -13h00pm - Monday to Friday.
Key Responsibilities:
Office Experience
- Take ownership of the local traditions and calendar events and celebrations
- Be a custodian of the Workspace element of employee engagement in Sofia - this means provide an amazing end to end experience to our people and visitors
- Think Global and Act Local - meaning maintain high awareness on our people objectives and strategy globally, and deliver local experience and events that support and align with this strategy
Office Management
- Maintaining the reception area and managing the office security systems & access for Sofia.
- Receiving and distributing office mail & parcels
- Monitoring the overall tidiness and ensuring the day-to-day smooth running of the office
- Managing bookings and preparing meeting rooms for team events (tidying, setting out refreshments & stationery as required)
- Maintaining supplies of stationery and office equipment
- Manage the food and drinks variety in the Sofia office in alignment with the Plovdiv Workspace team to ensure a balanced offering. Make regular food and drinks orders as needed.
- Develop and implement office policies, procedures and standards to guide the operation of the office
- Storage, processing and recording of all received financial documents (as needed) in the financial systems
- Managing office safety activities, office tours for new employees & visitors, and communicating in the relevant office channels on things happening and connected to the maintenance of the office
- Communication with the management of the business building as necessary
- Communication with local suppliers connected to orders and deliveries. Explore more efficient supplier partnerships to create a straightforward ordering process and secure consistent supply and spend.
Skills, Knowledge and Expertise:
- Fantastic organizational and problem solving skills
- Great attention to detail
- Excellent interpersonal and customer service skills
- Ability to work in a team environment, and with stakeholders at various levels
- Ability to organize and manage own workload, and collaborate with others to get things done
- Good communication skills- written and verbal, in Bulgarian and English
- Experience with Microsoft Office would be an advantage
