JOB SUMMARY:

The Client Relations Coordinator acts as the primary link between Clemson University College of Veterinary Medicine (CVM) Veterinary Services and its clients. The position ensures client satisfaction by answering inquiries, resolving complaints, onboarding new clients, and coordinating internal support. The role combines high-level customer service with essential administrative and scheduling duties. Performs other duties as assigned.

JOB DUTIES:

20% - Customer Service & Issue Resolution: Assess, investigate, and resolve client issues while maintaining a high standard of customer service. Escalate complex concerns to appropriate supervisor and monitor progress through resolution. Track and document client requests, concerns, and outcomes to ensure timely follow-up and accountability. Identify opportunities to enhance the client experience and recommend improvements to processes and workflows.

30% - Billing & Accounting Support: Process and track client invoices, payments, and account information while maintaining accurate financial records. Coordinate billing activities and assist with account maintenance, payment inquiries, and documentation requests. Reconcile billing discrepancies and collaborate with appropriate departments to resolve account-related issues in a timely manner. Utilize EMR, financial, and Microsoft Office systems to maintain records, generate reports, and support accounting workflows. Communicate and assist professionally with clients, supervisor, and CVM Business Office team regarding billing status, payment processing, and account updates.

50% - Client Coordination: Coordinate client communications by serving as a primary point of contact and providing information, guidance, and support in a professional and timely manner. Cultivate and maintain positive client relationships to promote satisfaction, engagement, and long-term retention. Facilitate client onboarding activities, including scheduling, account setup support, and coordination of required documentation. Collaborate with faculty, staff, and internal departments to ensure seamless service delivery and effective communication.

Minimum Requirements:

A bachelor's degree and relevant program experience.

Preferred Requirements:

A bachelor's degree in Business Administration, Communications, Public Relations, Healthcare Administration, or a related field. Experience working in higher education, healthcare, veterinary medicine, or a client-facing professional environment. Experience with billing, account management, scheduling, or customer relationship management (CRM) systems. Proficiency with Microsoft Suite and EMR database management systems.

COMPENSATION INFORMATION:

Expected Salary Range

45300 - 50000

Salary is dependent upon several factors including, but not limited to, a candidate's previous experience, knowledge, skills and performance in accordance with Clemson's compensation guidelines.

ESSENTIAL PERSONNEL LEVEL:

Normal Operations - Required to follow emergency facility closure and modified operations directives, and not normally expected to work on-site during emergency situations.
