The posting

The O'Donnell Middle School has an immediate opening for an Administrative Assistant in the Food Services Department.

REPORTS TO: Director of Food Services

SALARY: Administrative Assistant Contract

WORK YEAR: Year-round, M-F, Full-time as detailed in the Administrative Assistants’ contract

MINIMUM QUALIFICATIONS:

High school diploma Mid-level or higher bookkeeping, accounting or finance experience Servesafe Certification, or obtain certification within six months of employment High degree of organizational skills and ability to meet deadlines Proficiency using Google, able to create written documents using Microsoft Word and to create and use spreadsheets using Microsoft Excel Ability to learn and use new software (ex. SchoolCafe or similar) in a reasonable timeframe Familiarity with MUNIS accounting system not required upon hire but an employee in this role must be able to scale up quickly to run budget reports, enter requisitions, create accounts payable warrants (initial training will be provided). Such alternatives to the above qualifications as the Director of Food Services and Assistant Superintendent of Finance & Operations may deem acceptable. Must have strong written and oral communication skills.

PRIMARY RESPONSIBILITIES:

Assist in the ordering of food and products for all kitchens Assist the Director in the DESE claims process Process requisitions and payments through MUNIS Coordinate substitute assignments for kitchen personnel Download online payment reports and enter the revenue into the MUNIS system Coordinate in-house catering orders and prepare/distribute invoices to appropriate departments Process “free and reduced” lunch applications Collect all timecards, check and verify the information and math, remit to the Finance Office by deadlines the Finance Office requires Track and pay monthly meals tax liability Perform other tasks or duties as assigned by the Director of Food Services
