Job description

The Asia Group, LLC is now accepting applications for an Executive Assistant to join our Singapore office.

Headquartered in Washington, D.C., The Asia Group (“TAG”) is a strategic and capital advisory firm that positions clients – ranging from Fortune 100 multinationals to innovative startups – for success in established and emerging markets across the Indo-Pacific region. Our diverse team possesses decades of government and private sector experience with a work ethos that emphasizes teamwork, collegiality, creativity, entrepreneurialism, and mentorship.

Executive Assistant will play a critical role in supporting day-to-day operations for busy regional partner(s), managing a variety of high-priority tasks across multiple teams and time zones. The ideal candidate will be an expert at calendar management, international travel coordination, contact management, briefing material preparation, and maintaining effective communication with key internal and external stakeholders. This role requires exceptional organizational skills, impeccable attention to detail, scheduling across multiple time zones, strong Microsoft Office and especially PowerPoint for MAC skills. The individual must be capable of handling confidential client and internal information with discretion, and the ability to juggle multiple projects in a fast-paced environment. The ideal candidate is detail-oriented, resourceful, and adept at balancing competing priorities with professionalism and discretion. The role will also manage a small but growing Singapore office.

All interested candidates must submit a cover letter, resume, and references via the application portal on our website. Due to the volume of applications received, responses from our recruiting team may be delayed. No phone calls or emails and/or WhatsApp messages, please.

Job Responsibilities

  • Manage scheduling, meeting setup, and calendar logistics (often juggling multiple time zones), ensuring thorough preparation and follow-up and deconflicting around external commitments.
  • Coordinate travel arrangements, including booking transportation and lodging, securing necessary documentation for international travel, and providing pre-travel briefings through collaboration with teams to gather briefing and meeting materials, and work with clients to schedule meetings as needed.
  • Reconcile and submit expense claims on a monthly basis.
  • Proofread and edit public-facing documents to ensure accuracy and professionalism.
  • Plan and execute event logistics including liaising with vendors and internal teams to ensure success.
  • Write, distribute and track invitations to programs, events and meals.
  • Serve as a point of contact for internal and external stakeholders, facilitating communication and resolving issues proactively.
  • Attend weekly team syncs, serving as proxy for the executive regarding scheduling and meeting preparation needs.
  • Foster and maintain strong partnerships with key team leads to stay informed about priorities and keep the executive up to date.
  • Demonstrate confidence and poise in connecting with dynamic and assertive personalities.
  • Act as the main POC for external business-related Board affiliations and committees.
  • Assist in writing and editing letters, invitations and client materials
  • Handle sensitive information with the utmost confidentiality and discretion.
  • Demonstrate flexibility and adaptability to changing circumstances.
  • Manage Singapore office including managing service providers, vendors and supplies.
  • Perform additional duties and projects as assigned.

Job requirements

  • 3-5 years of experience in high-level administrative, operations, and/or project management roles.
  • Strong organizational and time-management skills, with the ability to prioritize competing demands.
  • Attention to detail and ability to maintain a high standard of professionalism.
  • High moral standards and ethics as well as a high level of discretion and professionalism, with the ability to handle sensitive and confidential information securely and responsibly.
  • Bachelor’s degree or equivalent work experience, strongly preferred.
  • Excellent communication and interpersonal skills
  • Proficiency using a Mac computer and Microsoft Office Suite (Outlook, Word, Excel, and especially PowerPoint).
  • Familiarity with leading AI platforms (Chat GPT, Claude and Copilot) and how to apply them for greater efficiency and clarity.
  • Proven ability to work independently and collaboratively with cross-functional teams.
  • Experience coordinating international travel and managing executive-level meetings.

We value professionals who are proactive in exploring new ways to work smarter. Ideal candidates will be comfortable using artificial intelligence tools — or excited to learn how — to increase efficiency, enhance analysis or deliverables, and generate innovative solutions. Familiarity with generative AI platforms and a growth mindset toward emerging technologies is a plus.

Candidates must be eligible to work in Singapore without an employment pass and are expected to work in-person at the TAG Singapore office five days per week.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
