Job Description
The Senior Associate Director of Advancement Information Systems leads advancement’s database operations, including data maintenance, and gift entry and workflow processes. Reporting to the Executive Director of Research, Prospect Management, Advancement Information Services & Database Management, the Associate Director ensures the accuracy, integrity, and usability of constituent and giving data and drives continuous improvement across systems, processes, documentation, and reporting tools that support fundraising, prospect management, and institutional decision-making.
The Associate Director supervises three Gift Recording and Data Integrity Specialists and is accountable for workflow management, data quality, and team development, including recruiting, onboarding, training, coaching, and retention. This role exercises judgment in prioritizing work, resolving complex issues, and implementing solutions, and serves as a key liaison with Information Technology and Accounting Services to support system reliability, compliance, reconciliation, and strong customer service. The role is expected to identify issues proactively and implement solutions, consulting the Executive Director on strategic priorities and high-impact decisions.
As the College advances its conversion to Slate CRM, the Associate Director proactively identifies and flags data and operational gaps to support successful implementation and continuity of service.

The anticipated annual base salary hiring range for this position is $53,300 to $65,200 per year, with final placement determined by experience, skills, qualifications, and internal equity considerations.
Responsibilities
Advancement Information Systems & Operational Leadership
- Lead the daily operations of the Advancement Information Systems (AIS) team.
- Establish and manage workflows, protocols, service standards, and internal controls for data, reporting, and gift processing functions that reflect best practices.
- Serve as the primary escalation point for complex AIS issues; assess root causes and implement solutions in coordination with key stakeholders.
- Evaluate AIS practices and partnerships and recommend improvements to strengthen efficiency, accuracy, and service quality.
- Support system readiness and continuity as Trinity advances its conversion to Slate CRM, proactively identifying and flagging operational and data-related gaps.

Team Supervision, Workflow Management & Staff Development
- Supervise three Gift Recording and Data Integrity Specialists, ensuring clear performance expectations, consistent accuracy, and high customer service standards.
- Manage workload distribution and workflow oversight to ensure timely completion of gift processing and data integrity tasks.
- Recruit, hire, onboard, train, and retain staff; provide coaching, performance feedback, and professional development support.
- Foster a collaborative, accountable team culture aligned with accuracy, responsiveness, and continuous improvement.
Data Stewardship, Governance & Documentation
- Own and enforce data integrity standards, policies, and procedures for constituent and giving records in Slate.
- Develop and implement audits and quality checks to maintain data completeness, consistency, and reliability, minimizing institutional risk.
- Resolve complex constituent and gift record issues and provide standards-based guidance to advancement colleagues.
- Maintain and update policies, procedures, and training materials to ensure consistent application across the division.
Reporting, Analytics & Information Delivery
- In collaboration with the director of database management, develop, maintain, and troubleshoot scheduled reports, dashboards, and recurring data outputs supporting fundraising, prospect management, reconciliation, and leadership decision-making.
- Identify trends, reporting gaps, and data concerns; propose and implement improvements to enhance decision support and operational effectiveness.
Gift Entry, Reconciliation & Cross-Department Partnership
- Lead gift entry and gift processing workflows to ensure accurate, timely, and compliant recording of all contributions, including gifts, pledges, payments, matching gifts, adjustments, and complex transactions.
- Ensure appropriate crediting and documentation of donor intent; maintain compliance with gift acceptance policies, audit requirements, and reporting standards.
- Partner with Accounting Services to support reconciliation, resolve discrepancies, and ensure alignment between Advancement and Finance records.
- Serve as the operational liaison with Information Technology and Accounting Services regarding system functionality, integrations, access, and data flow concerns.
Perform other related duties as assigned and based on departmental need.
Qualifications
- Bachelor's Degree
- 5-8 years of experience
- Experience leading gift entry/gift processing, including reconciliation with finance, and applying strong data integrity and quality control standards.
